Job Duties
- Oversee daily operations of medical office.
- Maintain on-site presence during business hours.
- Ensure that the presentation of the office meets Company standards.
- Hire, train, and supervise all location support staff (excluding doctors).
- Delegate tasks to direct reports.
- Administer front- and back- office support, and perform duties as needed.
- Assist in general office operations such as phones, filing, chart prep, etc.
- Verify patient information including insurance status.
- Enter patient data into EHR and prepared spreadsheets.
- Maintain schedules for doctors, patients, and staff.
- Check patients in and out.
- No-show calls.
- Scan/upload paperwork into EHR.
- Keep emails and live spreadsheets up-to-date.
- Room patients and assist providers as needed.
- Document services rendered to patients.
- Inventory and order medical and office supplies.
· Review all daily/weekly/monthly paperwork including day sheets, patient information (charts and accounts), billing, fee slips, mail, correspondence, etc.
- Submit weekly statistics re: patient volume via email to Leadership.
- Interface with other departments including billing, operations, marketing, human resources, and offices.
- Maintain appropriate office records including OSHA, employee files, maintenance, etc.
- Ensure proper staffing of office, performing interviews and any other fill-in duties as needed during interims.
- Keep time (PTO, Sick Leave, etc.) for direct reports.
- Perform 90-day reviews as well as annual appraisals for direct reports.
- Hold weekly staff meetings and maintain proper documentation.
· Uphold the company’s mission to provide exceptional patient care, and lead in a way that aligns with the company’s ESG goals.
· Resolve conflicts that occur with staff and/or patients.
· Perform other duties and assignments as directed and/or as necessary.
Minimum Requirements
- High school diploma or GED equivalent.
- 2 years medical office experience.
- Knowledge of computers and medical office procedures.
- 1-2 years supervisory experience.
Additional Skills/Competencies
- Excellent verbal and written communication skills.
- Problem solving and organizational skills.
- Types 40+ WPM.
- Knowledge of insurance, workers’ compensation, and personal injury.
- Certification such as Chiropractic Assistant, Medical Assistant or Radiological Technologist.
- Ability to effectively interact with doctors, attorneys, patients, and co-workers.
- Payroll Processes.
Physical/Mental Requirements
Sitting, standing, walking, reaching above shoulder length, working with body bent over at waist, working in kneeling position, climbing stairs, climbing ladders, working with arms extended at shoulder length, lifting maximum of 20 lbs.
