Job Description:
The Regional Operations Manager at Next Level Urgent Care is a pivotal role responsible for overseeing the daily operations of multiple clinics within the region. This role ensures that all clinics operate efficiently, maintain high standards of patient care, and adhere to company policies. The Regional Operations Manager will report directly to the Regional Vice President (RVP) and work closely with clinic staff to foster a collaborative and productive work environment.
Key Responsibilities
Daily Responsibilities:
- Create and send the Daily Staff Assurance Report to the RVP.
- Attend the region-wide huddle.
- Visit one of the 10 clinics (each clinic must be visited at least once every two weeks on varying days for visibility).
- Manage tech and provider call-ins as needed.
- Create and revise provider and tech schedules based on patient volume, ensuring adherence to the 3-tier model.
- Check on tech training requests and schedule trainers accordingly.
- Complete the facilities checklist and submit HelpDesk tickets for IT and facilities support.
- Conduct check-ins with all techs at the clinic.
- Ensure inventory is up to date and meets par levels.
- Assist with patient flow as needed to support the tech team during busy times.
Weekly Responsibilities:
- Meet with the team (RVP, Lead APPs, regional trainers) to discuss successes, challenges, interpersonal concerns, training needs, and patient satisfaction.
- Compile and send the medical assistant-specific page of the weekly regional newsletter to the RVP.
Bi-Weekly Responsibilities:
- Approve PTO requests in Dimensions, when applicable.
- Input CME submissions into Dimensions, when applicable.
- Approve mileage stipends, when applicable.
As Needed:
- Serve as the on-call person for tech questions and second opinion requests until 9 PM daily.
- Create an on-call weekend rotation with tech trainers.
- Deliver disciplinary action to medical assistants.
- Ensure all BLS & X-Ray licensure for medical assistants is current.
- Ensure all DOT certifications and licensure for medical providers are current, in conjunction with the credentialing team.
- Upload disciplinary documents and one-on-one conversation notes into UKG employee files.
- Schedule new clinical team members with designated leads (providers) or preceptors (techs).
- Coordinate regional socials and get-togethers twice annually.
- Interview medical assistant candidates.
- Set up pre-hire provider/medical assistant shadowing experiences.
- Schedule and coordinate new hire orientations in conjunction with the Regional Manager.
Key Performance Indicators (KPIs):
People:
- Maintain a voluntary tech turnover rate of less than 5%.
Service:
- Ensure a response time of less than 5 days for tech training requests.
Finance:
- Keep regional overtime below 3%.

- Proven experience in a healthcare operations management role.
- Strong leadership and interpersonal skills.
- Ability to manage multiple clinics and a diverse team effectively.
- Excellent organizational and communication skills.
- Proficient in using Dimensions, UKG, and other relevant software.
- Commitment to maintaining high standards of patient care and staff satisfaction.
