Job Summary:
The Receptionist is responsible for greeting vendors, clients, job applicants and other visitors, and helping them navigate through the office. In addition, they handle firm-wide calls and emails, facilitate office-wide messages, sort mail, and assist Word Processing with printing and typing tasks.
- Handle all calls firm-wide and emails.
- Manage front desk for North Hollywood office.
- Manage shipping and receiving, certified mail, and maintain daily logs.
- Ensure daily security lockup.
- Enter incoming mail checks for daily deposit.
- Sort mail as needed.
- Facilitate office-wide messages.
- Fax documents as needed.
- Maintain client contact and address changes, and new client setup.
- Manage parking assignments.
- Assist Word Processing with printing and typing.
- Send out invoices.
- Drop off FedEx as needed.
- Facilitate workspace management, supporting Office Manager.
- Perform other related duties and projects as assigned.
Required:
- Front desk reception experience required.
- 2-3 years of work experience as a receptionist or an administrative assistant in a high volume / fast paced environment.
- Excellent organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office Suite or similar software.
- Must be able to lift up to 15 pounds at a time.
- Prolonged periods sitting at a desk and working on a computer.
