Accounting Administrator
Under the direction of the Controller, the Accounting Administrator will provide general accounting support as well as oversee the accounts payable, and accounts receivable functions for all operating units. The position will be responsible for maintaining an accurate recording of invoices and accounts as well as ensure vendors are paid timely for services/products rendered. The position will also be responsible to evaluate vendors, make purchases, and prepare reports/recommendations based on data.
Essential duties and responsibilities
Accounts payable
- Enter and code vendor bills, ensuring bills are valid, approved and properly coded.
- Respond to vendor inquiries and reconcile discrepancies.
- Complete and submit weekly check runs and schedule ACH payments for approval.
- Reconcile payments to the bank statement.
- Record credit card transactions and reconcile monthly.
- Enter new vendors, ensure proper documentation, W9s, and payment terms.
- Provide purchasing planning and control by collecting, analyzing, and summarizing data and trends.
- Partner with team members to monitor inventory and place orders as needed.
- Administer the employee reimbursement process and system.
Accounts Receivable & Cash Management
- Record retail sales revenue and cash transactions.
- Enter wholesale invoices and record related payments.
- Complete weekly bank reconciliations.
- Update weekly cash forecast.
Other Duties
- Participate in the monthly accounting close, including account reconciliation.
- Support the company’s quarterly financial reporting.
- Support other finance/accounting functions as needed.
- Performs other duties as needed.
The ideal candidate will possess the following:
- Associate degree in Accounting, Finance, Business, or a related field.
- Comparable combination of skills and experience.
- One to two years’ experience in an AP/AR role.
- One to two years’ experience with accounting software; QuickBooks and Sage|Intacct preferred.
- Excellent interpersonal skills with a proven ability to collaborate with a team as well as influence others.
- Analytical mindset with the ability to multi-task and develop creative solutions.
- Strong attention to detail with the ability to work independently.
- Exceptional verbal and written communication skills.
- Strong computer skills with Microsoft office programs.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
