JOB TITLE: Business Office Admin
FLSA: Non-Exempt
REPORTS TO: Business Manager
POSITION SUMMARY: The Business Office Admin provides essential administrative support to back-office operations of the business.
ESSENTIAL DUTIES AND RESPONSIBILITIES: “Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

Supporting equipment sales, from acquisition to sale completion:

Reviewing equipment invoices and related documents and accurately entering inventory in the business system

Preparing and proofreading sales quotes, invoices and forms and sending to customers for electronic signature

Assist in fulfilling lender requests to close sales

Properly storing inventory and sale documents in shared electronic folders

Maintaining sale status spreadsheet

Supporting general business operations:
-
Assisting with incoming and outgoing mail
-
Assisting with daily accounting tasks including cash drawer and credit card sale reconciliation

Receiving and storing company credit card receipts and reconciling with weekly invoices

Ordering office supplies and maintaining inventory
-
Performing other administrative duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Microsoft Outlook, SharePoint & Excel

Strong proofreading skills

Strong math skills

Strong communication skills

Ability to focus in busy office

Ability to adjust to changing priorities

Ability to study for and pass the Alabama Department of Revenue Motor Vehicle Division Designated Agent training

Ability to become an Alabama notary

While performing the duties of this job, the employee is required to sit/stand for most of his/her job duties. There is the need to frequently walk. There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his/her job duties.
Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.
Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.
There is a moderate level of grasping, lifting, pushing and/or pulling of objects of less than 25 lbs.
