Job duties and requirements for Front Desk Chiropractic Assistant (CA)Job Summary: The front desk is a critical part of any chiropractic business. It is important to have a good flow of work to make sure your front office area is efficient and organized. This ensures that patient confidentiality is maintained and checking in and out patient are done quickly and effectively. This position is one of the most important positions in a chiropractic office and the first point where contact is made in person or by telephone with a new patient/follow up patient/attorneys/and anyone who you come in contact with at this office. Making appointments and making preliminary assessment category of payment for patients are essential before the doctor can see them. Chiropractic Front & Back Office Assistants duties include keeping a chiropractic office in line throughout the business day. This may include managing patients' files, checking chiropractic equipment and supplies, maintaining billing and coding, recording vital signs, and answering phones correctly and professionally. Daily tasks and duties vary from day to day.
Tasks and Job Duties:
1. Welcome patients as they contact our office personally or by telephone, and explain the services available, payment categories (for cash, insurance, & Medicare pt), billing procedures, chiropractic treatment protocols, personal injury cases, etc...
2. Schedule appointments accordingly (ex: MWF, TR, etc). This includes diagnostic imaging scheduling.
3. Answer all incoming calls and route them to the appropriate co-worker when needed. The doctor should only be interrupted for phone calls with prior authorization (settlement check, negotiation, etc).
4. Generate forms for each patient accordingly to their cases.
5. Verify, double check new patient intake forms (making sure everything is completed, sign, and initial) and copy of pt ID.
6. For PI patients, Liens must be fax/email to their attorney on the same day or the next day, no excuse! Always check back on the patient chart to see if it is faxed back to us and signed. We cannot move forward with patient treatment if it is not sign by the attorney.
7. Reviews and verifies patient coverage of insurance in a timely manner (on the same day or the next day) and keep Dr. Tran posted.
8. Collects case plan fees or co-pays/deductibles prior to the patient being seen by the doctor. Inform patient of their outstanding balance, collect balance, and issue cash receipt when monies are collected.
9. Work closely with Doctor and Staff to assure smooth patient flow and keep waiting time less than 15 minutes.
10. Call and remind patient of his/her appointment ahead of time especially with cash/insurance patient, and new patient.
11. Follow up on "NO Call/No Show" patients on a daily basis.
12. Communicate patient's problem/complaint to Dr. Tran.
13. Daily Billing/posting/and computer data entry on case per case base.
Job duties and requirements for Chiropractic Back Office Assistants:
Chiropractic Back Office Assistants' duties include keeping a chiropractic office in line throughout the business day. This might include managing patients' files, checking in and out chiropractic equipment and supplies, maintaining billing and coding, recording vital signs and answering phones correctly and professionally. Other duties may include but not limit to the following:
- Setting up patients on appropriate therapy such as: EMS, US, MFR, assisting them in Rehab exercises, etc. Also knowing the meaning and purpose behind each and every therapy.
- Setting up Report of Finding area for the doctor.
- Taking patient history
- Writing the basic and fundamental personal injury (PI) report.
- Being able to translate for Spanish speaking patient in a detail manor, as well as knowing the medical terminology.
- Maintaining and keeping track of office supplies
- Verifying insurance as needed
- Know how to use our Zoho software, Google (Gmail, fax, calendar, and Google keeps) words, excel, power-points, etc…
- Post billing on a daily basis.
- Maintaining an orderly work area such as: cleaning/wiping down tables and tool areas after each and every patient uses or as necessary, sweeping/mopping, taking out the trash every day, keeping the overall office clean/presentable; as well as our restroom.
Essential Duties and Responsibilities of a Chiropractic Assistant Greets patients and checks them in, confirming their insurance status, the ways in which they will pay, their medical histories, and any other relevant medical information. Takes some general diagnostic information including blood pressure, temperature, weight, and height and records this for the doctor’s use in the examination and treatment.
Required Knowledge, Skills and Abilities Must be personable with a professional demeanor and able to exercise courtesy and tact with all patients. Must be familiar with HIPAA regulations and medical information sharing practices. Must be willing to undergo further training for personal injury cases, performing particular therapy treatments, and more. Must be willing to embrace a holistic health philosophy and be able to explain to patients the benefit of chiropractic health care. Must be able to multitask. Must be self-learner, self-motivator, proactive, attentive, aware of your surroundings, organized, able to work with minimal supervision the majority of the time, etc. Must have strong communications and writing skills. Must be proficient with technology, with fast typing skills and ability to learn medical and insurance billing software programs.
Education and Experience High school diploma or GED equivalent required. Must have a minimum of 1 year experience working with people, preferably in an office or medical office environment. Experience with chiropractic health care with a MA or CA certificate preferred. All assistants should have strong verbal and written communication skills and a proven track record from past employers for job attendance. Bilingual in English and Spanish is a Plus!
