Cameron Wellness and Spa is looking for an experienced and detail oriented individual to work at the front desk of our clinic. As an Office Assistant, you will play a vital role in ensuring smooth operations and delivering exceptional service to our customers. Your primary responsibilities will include administrative tasks, coordinating office activities, and providing excellent customer support to in-clinic patients as well as over the phone.
We are looking for one full-time or two part-time position. Must be available to work at least 2 Saturdays per month and some evenings.
We offer a professional, clean and safe environment. Previous experience working in a clinic/med spa and sales experience is required. Any background in alternative medicine or wellness is also preferred.
Duties include: greeting and scheduling clients, answering phones, collecting payments, monitoring fax and email, taking inventory, and selling products and programs. The ideal candidate will be a dependable, outgoing, multi-tasker who is detail oriented, professional in appearance, and is a team player with a positive attitude.
Responsibilities:
- Greet and assist visitors, clients, and employees in a professional and friendly manner.
- Answer incoming phone calls, provide information, and route calls to the appropriate person or department.
- Respond promptly and effectively to customer inquiries or complaints, providing accurate information and resolving issues in a courteous manner.
- Assist with office tasks such as filing, data entry, photocopying, and organizing documents.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff members.
- Maintain office supplies and place orders as needed.
- Manage incoming and outgoing mail, packages, and deliveries.
- Collaborate with team members to ensure efficient and effective office operations.
- Uphold company policies and procedures, ensuring confidentiality and professionalism at all times.
Qualifications:
- High school diploma or equivalent; additional education or certification is a plus.
- Proven experience as an office assistant or in a similar role.
- Excellent verbal and written communication skills.
- Impeccable customer service skills with a friendly and professional demeanor.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Proficient in using office software (e.g., MS Office, Google, databases).
- Familiarity with office equipment (e.g., printers, scanners, fax machines).
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
- Strong problem-solving skills and the ability to handle challenging situations calmly and effectively.
