House Manager Job Description
GENERAL STATEMENT: The House Manager's responsibility is to work effectively with the Team; which includes the administrator, consumers, support coordinator, medical personnel and professional individuals. The purpose and intent of the team is to maximize the consumer’s growth potential while receiving services from Packard Group Inc. Although the House Manager’s job responsibilities reflect an emphasis on managing the facility and bonding relationships, managers are also expected to carry out the day to day operations of the facility as well as be knowledgeable of each consumer’s specific plan of service, and work as a team member promoting independence.
REPORTS TO: Packard Group Inc Administration.
RESPONSIBILITIES:
- Get to know all the consumers in your facility; encourage and provide opportunities for
the consumers to interact and get to know one another. Also, communicate and demonstrate all IPOS and programs requirements to staff, guardians and contractual agencies.
- Show concern and be available to consumers to address any problems and or concerns they may have and discuss concerns with the appropriate persons to reach acceptable solutions.
- Discuss the reasons for having rules and regulations and advise staff of all PGI
policies. Adhere to all PGI rules and regulations in personal conduct, HIPPA and confidentiality.
- Be familiar with Emergency Procedures and be able to respond appropriately as well as inform and train staff of fire and safety precautions, and check fire extinguishers, bag and drills monthly.
- Be available to respond to emergencies as required by PGI Corporate Compliance Procedures. Please see PGI corporate policy emergency procedures.
- Managers must maintain effective scheduling times (A) schedules must be completed 2 weeks in advance (B) managers are to review time sheets and make certain the correct time keeping is maintained (C)managers will report and follow-up with staff absences (D) managers will complete payroll and document hours worked on payroll summary sheet (E) managers will include any new changes and explanations to the payroll summary sheet(F)it is important not to write, use white out or erase direct care staff absences or tardiness. Managers will simply draw (1) line and rewrite the replacement person in place and (G) managers will make sure staff initial the schedule (2) weeks in advance when it is posted (H) managers will make sure all staff
persons sign their own time sheet; managers cannot legally sign timesheets for staff and (I) mangers will make sure staff are signing in/out upon entering and exiting the facility each time they are reporting on shift; staff are not to pre-sign in/out in advance on time sheets.
- Report any facilities equipment malfunctions immediately. Ensure oil changes are completed at 3,000 miles, tire rotations at 5,000 miles and tune-ups at 90,000 miles and as necessary per vehicle operators manual.
- Schedule and attend doctor’s appointments with consumers and make sure all written prescriptions and medications are in the facility. If you delegate this duty; please review and initial.
- Meet with all Support staff (case manager, OT/PT, nurse, dietician, psychiatrist, counselor, etc.) regularly and follow through with suggestions.
- Complete and check documentation (HCC'S, SMO'S, Weight Records, Programs, Outings, Mileage logs, Billing, CLS logs and Medication Book).
- Maintain inventories and complete monthly consumable financial records as well as PAF records on each consumer with current supporting receipts and other documentation verifying expenditures. Purchasing groceries and cleaning supplies as needed and notifying administration if you fall below $50 in consumables. Managers will also keep a receipt book to be used for consumers (A) completing their own laundry (B) when special situations occur and barbers/beauticians must visit the facility (C) when purchasing items from vending machines and(D) when giving cash on hand to consumers.
- Check phone and e-mail daily and respond in an appropriate time frame.
- Attend all Staff Meetings, Workshops, Pre and In-Service training, MORC yearly trainings and Test Out every 3 years.
- Meet regularly and call to check in with Administrator.
- Work closely with all other Managers to resolve problems. (We are a team)
- Provide feedback about building programs to help benefit future training.
- Ensure that all unusual incident reports are completed, reviewed and distributed within 24 hours. Report and fax to Recipient Rights (248) 509-9318, the Guardian, MORC INC. Case Manager, PGI Office (313) 731-1771 and for all After Hour Emergencies call MORC Emergency Number (800) 612-0497
- Develop and maintain a good work rapport with other employees and supervisors, as well as, outside agency personnel.
- Discipline or recognize meritorious performance among staff when appropriate; issue verbal and written reprimands as necessary.
- Notify the following persons when a client is absent from the facility or his/her program without authorization: Police, Administration, Guardian, Case Manager, Office of Recipient Rights, and Complete an Incident Report and send to the appropriate persons.
- Attend guardianship hearings and take the consumer with you. You are to take appearance documents with you which has the Judge's name and the court room you are to report to.
- Apply for Medicaid, food stamps and home health care. When applying for Medicaid you must (1) turn in the actual application (2) before turning in the application you are to copy the 1st page with the consumers name and identification number and (3) you are to request for the representative to stamp the 1st page with the current date information was submitted to the agency.
- Ensure yearly Apartment Leases are signed.
- Ensure consumers are transported to and from Day programs.
- Assist with hiring staff and completing new hire in-services. Also, setting staff up for training (new hire recipient rights training with 30 days and MORC training scheduled with 60 days).
- Responsible for collecting all needed outlined items in the staff files and checking them regularly and update when necessary.
