Fueling Brains is passionate about moving practice forward through strong professional development, and as such, provides regular, in-house professional development courses in Education programs and practices. We are currently looking for an experienced Center Director to join our team.
This position plays a key role in the Public Private Partnership between Poteet ISD and Fueling Brains. The incumbent will continuously collaborate with the Early Childhood Department in Fort Bend ISD to recruit, oversee, support, coach, and retain teachers at the academy. The Director will partner with the designated Fort BendISD faculty appraiser to uphold expectations for instructional planning & delivery, classroom management, professional responsibilities, required of District employee and Fueling Brains Academy staff.

Role: The Program Director’s primary role is to support the successful brain development of children enrolled in Fueling Brains Academy classrooms within their specified program. The Program Director is expected to coordinate, facilitate, and manage the daily successful operation of Fueling Brains Academy in line with Child Care Licensing (CCL) regulations and within the parameters of the school district guidelines.
Essential Duties and Responsibilities:
The Program Director supports the successful completion of work within the FBA program through fulfilling the following duties and responsibilities:

Data and Records Management:
- Personnel Records:
- maintaining accurate attendance records, sign in/sign out, time off requests, medical leave of absences, etc. for FBA employees under their direct supervision as well as District teachers timekeeping records for CCL compliance.
- Personnel Documentation- retrieving and uploading to the necessary channels, all pertinent employment documents for payroll, human resources, and CCL compliance (personnel information record, affidavit, background check clearance, CPR/First Aid, identification records, education records, and training documentation
- Texas Rising Stars- guiding and supporting accurate record keeping for TRS compliance, including monitoring TECPDS account creation and providing reminders/support for uploading and maintaining documentation compliance
- Receipt reimbursements- tracking and monitoring out-of-pocket expenses, ensuring that proper documentation is submitted in a timely manner in line with payroll procedures
- Evaluations and Performance Assessment records for BDA teachers under direct supervision
- Systematic processes in place to ensure timely renewal of certifications, upkeep of training records, and accurate personnel information records
- Student Records:
- Maintaining accurate attendance records, overseeing the implementation of 1Core attendance tracking
- Enrollment profile is compiled and meets all CCL compliance standards, including accurate admissions form, required signatures, and accompanying documentation (special diet, medical accommodations, media consent forms, incident/illness reports)
- Ensuring the accuracy of 1Core recordkeeping with real-time student attendance during the instructional day and aftercare program.
- Systematic processes in place to audit or update admissions/enrollment information to ensure ongoing CCL compliance.
- Operational Records:
- Overseeing the implementation of daily building and maintenance logs
- Overseeing processes to support accurate operational records for inspections (pest control, fire, health monthly/annual receipt of records)
- Renewal of important documents- insurance permits, licensing fees, renewal of operational license, etc
- Ensuring that classroom and parent information boards contain accurate information with processes in place to ensure routine upkeep in line with CCL compliance guidelines.
- Texas Rising Stars implementation records (to be determined as the process advances)
- Curriculum- past lesson plans on file for licensing or TRS review (at least 3 months)
- Ensuring the accurate upkeep of rotational schedules (thematic campuses) and LB/RB room assignments. Communicating any changes to the necessary channels
- Ensuring past breakfast/lunch/snack/dinner menus are on file for licensing or TRS review (at least 3 months)
- Inventory Records:
- Curriculum
- incoming, current, and closing inventory records for materials received (progression kits, thematic supplemental materials, thematic curriculum materials)
- Replenishment request forms for curriculum consumables
- Supply distribution records- tracking usage of consumable items distributed to teachers
- Quality control records for banners, decorations, or signage related to trademark Fueling Brains artwork
- Mealtime Records
- Accurate snack inventory counts
- CACFP Monthly documentation records (when applicable- process to be determined)
- Assessment Data Records:
- Maintaining data wall information- including routinely updating student brain score and executive function scores after each assessment window concludes
- Upkeep and accurate maintenance of in-class interventions and observations of cubs/squirrels and turtles
- Informal FOI notes/records
- Accurate Brain O Meter records in classrooms and on file
- Support for any teacher/admin that needs help accessing or understanding data.
- CCS Documentation Records:
- Waitlist submissions and systematic processes in place to track parent standings on the waitlist, the accuracy of application submissions, and a record of call-in dates with systematic notifications and reminders to parents
- Record of notifications about recertifications, and upkeep of a CCS binder including maintenance and tracking of Form 2450
- Licensing Records:
- Accurate upkeep of past licensing inspections, compliance records
- Maintaining online portal- validating employee lists, tracking licensing fees
- Upkeep of licensing schedule or floor plans (on campus and digital records management)
- Upkeep of emergency relocation maps, and preparedness plans
- Upkeep of current operational policies (on campus and digital records management)
- Financial Records:
- Ensuring the accuracy of billing/collections by reviewing the ledger in 1Core weekly. Submitting a Jotform for changes as required.
- Logging any receipt of payments from parents for tuition fees with a receipt for payment and adding the item to the billing payment log.
- An accurate record of receipts for campus purchases, and materials requested from procurement
- Overall records system to ensure weekly, monthly, quarterly, and annual upkeep and accurate records
- Personnel Management:
- Fully complete the onboarding process and documentation collection, orientation, and preservice training for all FBA employees, substitutes, and district teachers contributing to the implementation of the FBA program (instructional day or aftercare program)
- Ensure all staff is in CCL Compliance regarding ratios, appropriate discipline and guidance techniques, active supervision of children, classroom environments, daily operations, and processes
- Conduct/Oversee/Facilitate professional development opportunities through staff meetings, training sessions, and 1:1 coaching sessions as needed
- Establish consistent routines and processes that support clear role descriptions and duties for staff members
- Create a culture of collaboration, effective communication and information sharing, and a safe space for employees to feel respected, valuable, and contributing members of a team.
- Instructional/Curriculum Management:
- Oversee the implementation of the Fueling Brains curriculum model during the instructional day- monitoring daily schedules, routines, and procedures in the classroom, appropriate redirection/recommendation of support
- Ensuring implementation fidelity by conducting walk-throughs with campus leadership and facilitating/recommending coaching sessions with teachers/aides to support implementation
- Coach and mentor BDA+Brain Experts with their implementation of small group support and ensuring proper usage of the Brain Development Toolkit
- Oversee the classroom setup, materials management processes, and thematic rotations logistics through strong communication and guidance for the BDA+Thematic or Curriculum Expert
- Supporting BDA+Brain Builders in the planning, preparation, and implementation of aftercare curriculum and instruction strategies. Providing support and guidance when writing lesson plans
- Oversee the collection of information and submission of Newsletter documentation, updates, and pictures
- Management of Operations:
- Maintaining current inspections, and regular building maintenance (actionable items identified in daily building and maintenance logs, ensuring that any concerns or issues are addressed in a timely manner)
- Overseeing the processes and procedures of the daily operations- arrival/dismissal routines, active supervision of children (restroom, outdoor, classroom, cafeteria, etc), and the release policy of children
- Finances (billing) regular communication processes for collecting payments, notifying parents of aging balances, and accurate record keeping
- Finances (office/operational) communicating campus purchase needs to the correct channels, having systems in place for the regular submission of materials, and consumables needed for both office use and classroom use, as needed.
- CCS processes- assisting and supporting parents with completing documentation and submitting applications or recertifications.
- Professional Growth and Development:
- CCL/TRS Compliance- enrolling, requesting training opportunities to ensure the 36 annual professional development hours required for Program Directors.
- Mastering FB applications and programs including but not limited to 1Core, FB App, Google Suite, Monday Board
- Advancing personal understanding of brain development including executive functions, the 9 intelligence areas, LB/RB and M fidelity. (Become a Brain Expert)
- School or Community Relations:
- Maintain effective and professional channels of communication with both Fueling Brains leadership/administrative teams and campus/district-based leadership channels
- Attending required meetings (1:1 meets with Regional Manager, scheduled meets with campus leadership, and weekly Director huddles)
- Timely notification of events/changes that may directly impact campus operations (FBA visitors, parent tours, FBA leadership tours, Program Director or staff absences as applicable to the campus operations)
- Organizing/overseeing events, parent outreach opportunities, Parent University, Open House events, etc.
Education and/or Work Experience Requirements:
- Texas Department of Health and Human Services Director Credential
- 18 Credits or more (preferred) in Early Childhood, Business Management or related field
- Proficient verbal and written communication skills, including the ability to effectively communicate with internal and external customers
- Basic computer proficiency (Google Suite, Asana, Monday.com, Database maintenance, etc.)
- Must have a minimum of 2 years experience in working in leadership with ECE programs
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
- Ability to work independently and to carry out assignments to completion within parameters of instructions given and/or develop project parameters and prescribed routines
- Must have basic document handling knowledge and privacy standards
- Must have a working knowledge of the Minimum Standards for Child Care Centers. (Texas)
