JOB PURPOSE
ROMCO is currently seeking a talented and driven Regional Parts & Operations Manager to ensure parts are available and efficiently managed from procurement to delivery through an analytical approach. This role supports customer needs by inventory management at the right price for parts availability and performance reporting. This position reports directly to the Senior Parts and Logistics Manager.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Parts Master Creation
- Generate and manage new and replacement part numbers for Master data.
- Price creation and maintenance
Parts Procurement
- o Review and analyze Daily Customer back orders for procurement of non-available parts
- Ensure parts are available for customers through parts ordering process.
- Handle urgent orders for non-available parts.
- Create supplier purchase orders in supplier portal and in DMS system
- Feedback to relevant teams of expected arrival times.
- Manage and track inter-branch stock transfers and follow up on in-transit items.
- Monitor and follow up on supplier orders.
- Order parts publications, tools, and attachments as per demand
Supporting Functions
- Closely working with lead parts and counter parts sales
- Process shipping documents for goods receiving in DMS system and supplier invoice processing.
- Address and resolve supplier discrepancies.
- Coordinate the return of REMAN parts and handle supplier buybacks and returns.
- Assist in stock takes, parts scrapping, and disposal.
- Manage returns to Volvo/suppliers.
- Procurement planning for warehouse supplies and packaging materials based on WH requests
- Handle stock adjustments in the system.
- Coordinate freight bill verifications and payment approvals.
Performance Reporting
- Generate reports on stock takes, warehouse performance, and parts availability.
All other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS
- Knowledge of Dealer management system (DMS)
- Knowledge of electronic parts catalogue• Proficiency in MS Office packages including Excel and Word
- Excellent verbal and written communication skills
- Ability to work well with others in different job positions, customers, and vendors
- Broad knowledge of heavy duty construction equipment’s machinery and components
- Ability to develop and maintain customer relationships
- Attention to detail and follow-up and proven organizational skills
- Willingness to travel as needed
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required
- At least 3 years' experience in spare parts business from heavy duty contrion equipment or commercial vehicle business
- At least 3 years' experience in inventory management, logistics, and procurement

WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS
This job operates in an office environment. Office hours are from 8:00am to 5:00pm with occasional needs outside standard business hours to accommodate meetings, training, and projects. Some travel may be required. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment can be loud.
