Overview:
The Executive Assistant completes a broad range of administrative tasks that facilitate the President & CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, report, and presentations; collecting and preparing information for meetings with staff and outside parties.
Responsibilities:
- Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts, makes judgement and recommendations to ensure smooth day-to-day management

Work closely with the President & CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately

Anticipate CEO’s needs in advance of meetings, conferences, etc.

Provides administrative support for other key executives as needed

Coordinate travel arrangements, prepare itineraries, and plan logistics

Coordinate all Executive Team meetings, retreats and assist with other events as needed

Manage executive's contacts

Accurately record minutes for meetings and creating action item lists

Prepare reports, memos, letters, and other documents as requested

Research and conduct data gathering to prepare documents for review and presentation

Assist in preparing and managing presentations and decks

Serve as primary point of contact and gatekeeper for President & CEO for internal and external contacts

Replenish President & CEO’s office materials such as paper and printer supplies, office supplies, lunch, coffee, etc.

Work on special projects including personal events and/or family needs

Prepare monthly expense reports using Concur

Welcome the Executive’s guests by greeting them, in person, on the phone; answering or directing inquiries

Manage sensitive matters with a high level of confidentiality and discretion

Opening and processing President & CEO’s mail accordingly
Ideal Candidate Will Possess the Following Skills and Abilities:
- 5+ years executive support experience, including C-level executives

High School Diploma required, Associate or Bachelor’s preferred

Tech-Savy; Advanced user of Microsoft Office 365, specifically, Outlook, Teams, Word, Excel, Powerpoint, and OneDrive

Ability to interact with people of all levels in a confident, professional manner

Possess strong organizational skills that reflect the ability to perform, and take ownership of the position, as well as to prioritize multiple tasks seamlessly

Highly resourceful team-player, with the ability to be extremely effective independently

Impeccable attention to detail

Excellent writing, editing, grammatical, organizational and research skills
