Under the direction of the COO, Assist in Organizing Inventory of Facilities, Equipment in Asset Essentials software program and provide barcode identification tags etc.
Responsibilities:
- Generate, monitor, and manage scheduled preventive maintenance program for all facilities and equipment.
- Receive incoming work requests and enter data into Asset Essentials to generate work orders.
- Control parts, equipment, project approval workflow to ensure all maintenance tasks are approved and all purchases are approved and properly processed.
- Execute POs for maintenance and facilities items and receive them into ERP system and attach corresponding parts and purchase documents and information in asset essentials. Build out parts associated with equipment with sources in Asset Essentials.
- Negotiate and oversee landscaping and snow removal, facilities upkeep programs.
- Develop and manage custodial program including hiring porters, training them to perform all tasks, having them perform regular daily tasks (i.e., bathrooms, cafeterias, offices) and additional tasks on a periodic schedule (i.e., grounds cleaning, polish floors, vacuum, uniforms, dumpster, set-ups for special events, etc.)
- Organize inventory of tools, parts, pieces with locations etc.
- Supervise compliance programs for facilities such as Suffolk County water authority, EPA, cesspool, hazardous waste, sprinkler, alarm, HVAC, boiler inspections, cooling tower.
- Oversee company truck maintenance, inspection, service.
- Run forklift maintenance program.
- Keep maintenance staff engaged and productive and help to manage headcount and mechanic requirements.
- Run special projects such as room renovations, HVAC installations/replacements, roofing repairs/refurbishment, new blacktop/lines in parking lot.
- Coordinate maintenance for both 75 and 85 commerce, ConPak (Bohemia), Wellington, FL. Assist with obtaining vendors for owners’ personal property if needed by caretaker or family.
- Procure quotes and generate approval process (QA, production) for new equipment purchase and manage installation and startup/qualification.
- Maintain clear and accurate records of all activity in Asset Essentials System including attachments of invoices, PO’s and service records, manual, parts etc. All must be immediately auditable in real-time.
- Establish budget for maintenance monthly to run facilities (not including special projects and equipment purchases).
- Keep all involved Departments up to date on status of equipment activities and repairs.
- Coordinate all installations of equipment or construction with all parties involved.
- Ensures that the daily and weekly maintenance work orders are communicated and distributed to the department team members involved.
- Liaise with external service providers to ensure all resources and materials are in place to complete planned work.
Education / Experience / Training / Skill:
- 3 years experience.
- HS Diploma required, College preferred (Associate or Bachelor).
- Verified ability to read and write and familiarity with Microsoft Office, spreadsheets, and computer systems required.

Pay: $60,000.00 - $65,000.00 per year
