JOB DESCRIPTION:
The Executive Assistant will provide high-level administrative support to the executive team, handling various tasks to ensure efficient operation and effective communication within the organization. This role requires a proactive and detail-oriented individual who can manage multiple priorities, maintain confidentiality, and facilitate coordination between the operations, technical, and sales teams.
An excellent Executive Assistant is, above all, an organized and competent professional with phenomenal communication skills. The right candidate should be comfortable interacting with people and able to carry out administrative duties with accuracy and speed.
REQUIRED QUALIFICATIONS:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 2 years of experience as an Executive Assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to manage multiple tasks and prioritize effectively.
- High level of professionalism and attention to detail.
- Strong problem-solving skills and the ability to work independently.
- Discretion and confidentiality are essential.
- Ability to facilitate effective communication and collaboration between diverse teams.
PREFERRED QUALIFICATIONS:
- Experience working in tech or IT industry.
- Knowledge of PSA and project management software.
- Project management experience.
- Experience in coordinating between teams.
PRIMARY RESPONSIBILITIES:
- Administrative Support: Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Communication: Serve as the primary point of contact between executives and internal/external stakeholders. Handle correspondence, emails, and phone calls promptly and professionally.
- Document Preparation: Prepare and edit documents, reports, and presentations for meetings and conferences.
- Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Team Facilitation: Ensure smooth operations by coordinating and facilitating communication and collaboration between the operations, technical, and sales teams. Address any interdepartmental issues promptly.
- Project Management: Assist in the planning and execution of special projects and initiatives as assigned by the executive team.
- Office Management: Oversee office operations, including ordering supplies, managing office equipment, and ensuring a well-organized workspace.
- Event Planning: Plan and execute company events, meetings, and conferences, ensuring all logistical details are managed.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

JOB TYPE:
Exempt, salary, full-time, in office only
COMPENSATION:
Annual salary of $50,000-55,000/year (based on experience), paid vacation, health insurance plans, retirement program, disability insurance, and life insurance.

Near downtown Orlando: candidate must be in Metro Orlando.
