Active Chiropractic Care & Disc Centers of America Commack are seeking a dedicated Office Manager to oversee daily logistics, enhance team performance, and ensure smooth office operations.
Key Responsibilities:
- Team Management:
- Hire, onboard, and train new employees.
- Update employee schedules bi-weekly.
- Track team members' Paid Time Off (PTO).
- Communicate with team members regarding tardiness, sick calls, etc.
- Host daily pre and post-shift huddles (10 minutes before shift).
- Hold team members accountable to their KPIs - (Key Performance Indicators).
- Coordinate logistics including post office runs, UPS shipments, new employee uniform embroidery, and shred bin emptying.
- Train, coach, and grow individuals within the team.
- Host quarterly KPI meetings with individual team members.
- Conduct team training sessions including phone etiquette training program, office flow training and procedures, front desk meetings, and back office meetings.
- Identify and address HR issues, communicating with management and HR as necessary.
- Write 30-day performance improvement plans for underperforming team members.
- Financial Responsibilities:
- Review finances with new patients for Active Chiropractic Care.
- Discuss finances with new patients for Disc Centers of America Commack.
- Collect finances and ensuring all new clients are on boarded efficiently.
- Operational Duties:
- Oversee day-to-day logistics and operations.
- Increase sales and revenue for Active Chiropractic Care and Disc Centers of America.
- Work with the team and management to resolve patient concerns/complaints, such as billing and refunds.
- Oversee patient schedule flow to ensure quality of care and treatment outcomes.
- Ensure a teamwork environment and address points of friction early on.
- Communicate long-term vision to keep the team focused on reaching quarterly goals.
Qualifications:
- Proven experience in office management overseeing a staff of 10 + employees.
- Ability to provide reference for previous job experience with a point of contact.
- Strong organizational and leadership skills.
- Excellent communication and interpersonal abilities.
- Ability to handle financial discussions with patients.
- Proficiency in updating schedules and tracking PTO.
- Experience in conducting training sessions and performance reviews.
- Capability to manage logistics and daily operations efficiently.
- Goal-oriented mindset with the ability to increase sales and revenue.
