The Sales Administrative Assistant is a key member of the Commercial team. The Sales Administrative Assistant will focus primarily on assisting the Business Managers and Sales Team with various tasks, including daily and weekly sales tracking and reporting, assisting with sales team needs, and preparing presentations for monthly meetings. The Administrative Assistant must be able to analyze data, compose spreadsheets and report and provide administrative support for the Business Managers and their Sales Teams. The Sales Administrative Assistant is flexible to assist, has problem solving attitude and is available to travel as needed.
Primary Accountabilities/Functions:

Business Data Analysis and Reporting

Work with Business Managers on various reports

Compose and update daily sales charts

High level of Excel expertise required (functions, etc.)

Coordinate with other departments for data analysis and sales tracking

Administrative Management Support
-
Assist Business Managers on general reports and projects
-
Manage and organize important sales team documents
-
Track and update customer information and pull CRM reports as needed
-
Arrange details for weekly, monthly, and quarterly meetings
-
Arrange conference calls for the managers and sales teams
-
Take meeting notes and distribute to attendees
-
Assist the managers with their email and calendars as needed
-
Manage timekeeping for the sales teams, including weekly calendars and vacation tracking

Manage expense report details for business managers

Coordination and booking of travel
-
Front facing with customers, executives and leading key events
-
Plan and execute annual/bi-annual sales team meetings
-
Arrange travel, catering, presentations
-
Organize and host customer and executive team visits
-
Frontline representative of the Company at key meetings and customer visits throughout the year

Excellent in-person and digital communication skills required

Demonstrates the highest level of professionalism in interactions with internal and external stakeholders

Collaborate and actively assist to Exhibitions organizations, other public events, etc. and support on field
Education and Experience

Experience supporting senior management and sales teams
-
Bachelor’s degree in business administration, human resources, or related field or equivalent experience preferred

Excellent computer skills with MS Word Products, primarily Word, Excel (pivot tables), and PowerPoint

Ability to learn new software and systems as needed

Attention to detail and accuracy

Excellent communication skills, both verbal and written

Understanding of the sense of urgency in a sales environment

Self-motivated, organized, detail-oriented, and the ability to work with little supervision

Knowledge of Smoothie and Power BI software would be an asset

Salesforce or other CRM experience a plus
