The County Commissioners Association of Pennsylvania (CCAP) is the voice of Pennsylvania counties. CCAP provides county leaders with information and guidance related to legislation, education, media, insurance, technology and many other issues that help create and maintain crucial services for residents throughout the state.
CCAP Insurance Programs Mission
It is the mission of the CCAP Insurance Programs office to assist counties and county related entities to protect their employees, clients, their property, and financial assets, and the general public which use their facilities.
To accomplish this, CCAP Insurance Programs staff will strive to provide:
- Quality member services to counties and county related entities in the area of risk management, insurance, employee benefits, bonding, and related areas.
- Professional, fair, timely and accurate claims services to members of CCAP Insurance Programs.
- Professional advice to counties and county related entities regarding loss control, safety, contractual and operational issues.
- Quality loss control training for management, supervisors and employees of counties and county-related entities.
- Regular, relevant information to members and their insurance producers through the use of various media. Any reasonable assistance to counties and county related entities to make their workplace and operations as safe as possible for the public and county employees.
CCAP is searching for a Member Services Assistant
POSITION DESCRIPTION
The Member Services Assistant is employed to assist the Deputy Managing Director and Risk Management Training Director with the administrative duties involved with conducting educational sessions, registration management, marketing efforts, member service needs, website administration, publications and overall administrative support.
The Member Services Assistant reports to the Deputy Managing Director, Insurance Programs, for supervision, direction, work approvals and evaluation. As defined by the CCAP Personnel Policy, this is a non-exempt position. This position is eligible for telework pursuant to CCAP’s telework policy, subject to exceptions noted below.
Essential Functions and Responsibilities:
· Create the calendar of events and registration pages for educational sessions offered by Insurance Programs
· Create Save the Date reminders for upcoming educational sessions and promotional communications for all programs as deemed necessary
· Assist with onsite educational sessions, which includes but is not limited to: creating certificates, handling registration and providing educational resources as needed and directed by the Risk Management Training Director
· Produce, edit and publish the Insurance Matters newsletter (monthly), the PIMCC Newsletter (twice per year), and the Prison Directory (update to the CCAP website as changes are received)
· Maintain the various Insurance Program websites on the CCAP website
· Serves as the primary liaison for insurance records within D365, tracking updates and performing all record changes and performs all data extractions from the application upon request. Also manages the various membership listings for the various programs and communicates changes to insurance staff.
· Prepare meeting folders and/or electronic packets for claims reviews or other member meetings as needed
· Prepare exhibit booths and materials for Insurance Programs presence at all CCAP conferences, as well as other Insurance Program sponsored events
· Manages inventory of marketing supplies and giveaways for Spring, CAC, Annual, and Fall Conferences, as well as for other events as scheduled
· Creates, designs and edits all marketing materials for CCAP Insurance Programs. Additionally, collaborates with the Director of Marketing and Communications to ensure program brochures, advertisements, marketing materials, newsletters and all other marketing related matters are current, properly branded and/or published as needed
· Manage the contracts for Insurance Programs’ conference sponsorships, in coordination with the Managing Director, Insurance Programs
· Establishes marketing and advertising schedule for CCAP Insurance Programs
· Performance of other assignments and routine business of the association.
Qualifications and Requirements:
Experience:
· 2-4 years of experience in administrative support and/or marketing support
Education:
· High school diploma
· A proven history of professional growth and a commitment to acquiring and maintaining the knowledge required to perform in the position
An equivalent combination of experience and education may be considered satisfactory for the position.
Required Skills and Knowledge:
· Excellent verbal and written communication skills
· Highly computer literate with strong capabilities in using MS office, email, website maintenance, databases and related business and communication tools
· Strong project management skills – including time management, organization and the ability to handle multiple projects with various deadlines
· Strong attention to detail
· Proven experience in exercising excellent judgement and the ability to work independently
Working Conditions and Physical Requirements:
· The standard office hours of the Association are 8:30-4:30, but work outside of this window may be required
· Periodic travel will be required within the state of Pennsylvania
· The position may require standing or sitting for extended periods of time, the ability to lift and move items up to 50 pounds in weight, and the ability to operate computer equipment essential to the completion of the position’s responsibilities

Pay: $38,000.00 - $42,000.00 per year
