We are seeking a highly organized and motivated Office Manager to join our team. This role is crucial in ensuring the smooth operation of our office including overseeing administrative activities of the organization and supporting our sales efforts.
Job Summary:
The Office Manager will be responsible for overseeing daily office operations, managing administrative tasks, and supporting sales activities. The ideal candidate will be a proactive problem-solver with excellent communication skills and a strong ability to multitask.
Managing Company communications
- Answer calls from prospective clients, trades, vendors, press, deliveries etc.
- Filter emails in our general inbox and organize email threads accordingly
- Manage calendar scheduling and auto-responses
- Send thank you notes/project wrap up gifts
- Oversee all communication for Studio Event rentals
- Lead Liaison for Internship communication + Give back initiative
Back office/office management
- Complete + file vendor apps for wholesale relationships
- Maintain vendor list
- Complete Client Contracts
- Create company marketing campaigns and flyers
- Strong leadership qualities with the abilities to oversee Internship hires + support sales staff
Support to CEO/Principal Designer
- Maintain schedule, communicate appointments via calendar, text, or email
- Schedule flights, hotels, for various speaking engagements and out of town site visits.
- Follow-up on press and influencer inquiries
Procurement
- Communicate when needed to subcontractor via phone or email
- Scout new vendor relationships for subcontractors + send project specs for bids
- Schedule photoshoots for completed projects
Prerequisites
- High school diploma or equivalent;
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Excellent organizational and time management skills with the ability to prioritize tasks
- Strong verbal and written communication skills
- Attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
