NYC based Real Estate Developer is looking for an Operations and Property management assistant that can do the below:
3 DAYS A WEEK AT DOWNTOWN BROOKLYN HOTEL AND 2 DAYS AT MANHATTAN MAIN OFFICE
Hotel property:
Invoice input - Contacting vendors when necessary- C of I/ coordination of sales activities . Work with director of sales in both oversight and assistance .Working with General Manager on Administrative and Human Resources, oversee and be involved with SOP’s. Direct liaison to Ownership
Office Responsibilities:
Take minutes on calls/meetings as required.
Support on call and meeting scheduling
Support Hotel operations and Sales:
Make purchases and contact vendors when needed
Work in contracts for vendors (electricity, phone service, etc)
Visit the Company owned hotel three times a week to oversee property and process.
Provide support upon request in other operations related tasks.
Support in residential apartment and project operations and development :
Make purchases and contact vendors when needed
Work in contracts for vendors if requested (electricity, phone service, contractors, MEP, structural etc)
Provide support upon request in other operations related tasks.
New projects Due Diligence.
Visit project sites to oversee progress and specific items as requested.
Issue RFP’s; produce levelling documents; and make recommendations that connect the right skill set with the project demands
Establish and negotiate consultant fees and prepare contracts of real estate projects. Accurately track expenses and approve invoices based on consultant deliverables.
Assistant in sourcing and underwriting of real estate deals in NY Tri State area and Miami.
Keep track of the procurement process and follow up with 20-30 vendors on a monthly basis regarding shipping and delivery.
Develop, maintain, track and report deliverable schedules, along with any discrepancies between deliverables and evolving project objectives.
Have operation oversight of property and project operations.
Be familiar with NYC Violations, Corrections and keep track of the hearings
Check contracts and COIs (certificate of insurances) on a regular basis.
Have knowledge on property SOP (standard operating procedures) and implement changes to make the process better.
Good knowledge about construction/permits and process for all the different phases inthe projects and appropriate verification techniques to manage changes in project scope, schedule, and costs.
Ability to stay organized and focused on a busy environment.
Revise systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgets (including purchasing, cash handling and disbursements, inventories, and equipment.)
Prioritize conflicting needs, handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures.
Oversee all contracts and legal agreements and maintain all licenses, permits, insurance and contracts.
Assist with the development of and revisions to business plans, annual budgets, and annual and monthly forecasts, etc.
Duties related to asst. property management
Understanding of development and real estate building business is preferred
Requirements:
- Bachelor Degree with MINIMUM 3 +, years work experience
- Experience in hotel, real estate or related hospitality preferred
- Social media strength is a must to ensure good presence in the digital world and understanding of reports.
- Excellent written and oral communication skills.
- Must be proficient in Microsoft Office products. Strong analytics, computer and word processing skills including Excel and presentation programs and task management software ie. Asana and basic office and accounting software.
- Strong attention to detail and ability to multitask and work independently.
- Good organization, verbal and written skills.
- Detail oriented with high-level of accuracy with documents.

Pay: $50,000.00 - $65,000.00 per year
