Position Summary
GloGirl World is seeking a highly organized and passionate Day of Coordinator to oversee the on-site execution of the annual event the Restore Her Retreat 2024. The ideal candidate will embody servant leadership, faith-led discernment, and have a proven track record in creating safe, welcoming spaces for women of color. This role is essential to ensuring the retreat runs smoothly and meets the standards to create a transformational worship experience for believers who desire transformation, purpose, and community.
Key Responsibilities
On-Site Management:
- Oversee the setup, execution, and breakdown of the event.
- Coordinate with vendors, speakers, volunteers, and attendees to ensure seamless operations.
- Manage the event schedule, ensuring all activities start and end on time.
- Conceives of and assembles creative and innovative event themes and attractions to enhance event experiences and goals.
Vendor Coordination:
- Serve as the primary point of contact for all vendors.
- Ensure all vendor services are delivered as agreed and address any issues that arise promptly.
Attendee Experience:
- Provide a welcoming and supportive environment for all attendees.
- Address attendee needs and concerns with empathy and efficiency.
- Foster a safe and inclusive atmosphere throughout the event.
Team Leadership:
- Lead and motivate a team of volunteers and event staff.
- Delegate tasks effectively and ensure all team members are clear on their roles and responsibilities.
- Maintain open communication and provide support to team members as needed.
Problem Solving:
- Anticipate potential issues and develop contingency plans.
- Address any on-site problems swiftly and effectively to minimize disruption.
Post-Event Activities:
- Assist with event breakdown and ensure all items are accounted for and properly stored or returned.
- Participate in a post-event debrief to assess successes and areas for improvement.
Education/Experience
- Education: Meeting and event management or hospitality management degree a plus
- Work Experience: 1-2 years experience in an event production, supervisory experience preferred
- Event Experience: Proven experience in coordinating or producing at least two events with over 75 attendees required
