ESSENTIAL FUNCTIONS/RESPONSIBILITIES
*Duties may include, but not limited to all or some of the following
- Greeting and welcoming patients.
- Answering phone calls in a prompt and polite manner.
- Escort patients from lobby to the exam/treatment rooms.
- Collect patient medical information, update medical records and input information in EMR.
- Reconcile medications history.
- Prepare, assist with examinations, procedures, and treatments.
- Perform and record a variety of treatment procedures under the direction of the physician.
- Clean and sterilize equipment and maintain stock of supplies and medications.
- Set up of different surgical trays – Eyelid kit set-up, dimple kit, excision, I&D, etc.
- Set up exam rooms for all medical and surgical procedures.
- Fill out requisition forms and send out specimens.
- Assist Surgeons for Mohs surgery, Cosmetic procedures and Excisions.
- Removing sutures, conduct allergy patch placements, PDT and iontophoresis, and unpacking medical/office supplies.
- Inventory and ordering of all medical supplies.
- Perform a variety of clerical functions as assigned including H&P’s.
- Scheduling appointments as needed in accordance with provider schedule.
- Message intake for medical questions, prescription refills, and test results. Transferring calls and inquiries to providers and care coordinators accordingly.
- Direct all patient financial inquiries to appropriate staff in the billing department.
- Follow office rules and regulations when it comes to visiting pharmaceutical representatives.
- Registering new patients and updating existing patient demographics by collecting detailed patient information, including personal and financial.
- Entering/updating patient information in the system in a timely and accurate manner.
- Processing medical insurance information, verifying patient eligibility and addressing any patient questions about insurance (liaise with Billing department as appropriate).
- Collecting payment information and saving for future balances.
- Assisting patients with completion of paperwork when necessary.
- Scanning, updating and filing medical records.
- Providing outstanding customer service to every patient.
- Informing practice manager or assistant practice manager of waiting room wait times, patient flow, and communicating with patients accordingly.
- Maintaining a professional and courteous demeanor at all times.
- Assisting other practice team members as needed.
- Attending all in-house training and continued education opportunities.
- Performing additional duties as assigned.
QUALIFICATIONS/EXPERIENCE/EDUCATION
- Previous experience as a Surgical Assistant or similar role.
- Strong knowledge of surgical procedures, medical terminology, and anatomy. Dermatology experience helpful.
- Proficiency in using surgical instruments and equipment.
- Excellent attention to detail and ability to follow instructions accurately.
- Ability to work well under pressure in a fast-paced environment.
- Strong communication and interpersonal skills.
- Ability to work effectively as part of a surgical team.
- Positive, welcoming, and can-do attitude with patients and other practice team members.
- Experience working in any high-volume/high-intensity customer service industry
- Excellent verbal, written, and interpersonal communication skills.
- Flexible/adaptable nature to work in a fast paced and continuously evolving environment.
- Passion for helping others in a healthcare environment.
- Ability to effectively interact with providers, patients and other staff members.
ADDITIONAL INFORMATION
This position may require early arrival, long shifts, Saturdays, or closing shifts. Must work on-site.

Physical Requirements
Ability to sit and stand for periods of time. Heavy computer use required. This role may require from time to time lifting heavy objects on a regular basis, and requiring light cleaning.
