The Assistant Clinic Manager assists the Practice Administrator with the day-to-day operations of the clinic, ensuring patient care is provided in an efficient and productive manner. They support the clinic team in meeting established goals and objectives and collaboratively work with the Practice Administrator to maintain team productivity, support organizational initiatives, and ensure all departments are appropriately staffed. The Assistant Clinic Manager works to build a positive atmosphere by being visible and available to the team and consistently demonstrating a positive attitude that reflects the highest regard for all patients, families, providers, and other team members.
Provide leadership and guidance to clinic teams in the day-to-day operations of the facility.
Identify problems and work with the practice administrator to recommend and implement plans for improvement.
Facilitate a successful patient experience and work with teams to ensure patient satisfaction is always a priority.
Alongside the Practice Administrator, build, implement and monitor effective KPI’s, analytic tools, and overarching goals/objectives for clinic departments that are aligned with the organization’s growth strategy.
Continually assess, refine, and operationalize departmental workflows to maximize organizational efficiencies and effectiveness.
In collaboration with the Practice Administrator, ensure budget and financial performance meet organizational standards and expectations.
Assist the Practice Administrator in interviewing, hiring, onboarding, and training of new team members.
Work alongside the Practice Administrator to assess and manage the performance of clinic team members.
Cultivate team engagement and drive culture through appropriate recognition and reward programs, consistent with GCP’s overarching mission and values.
Recommend and implement retention strategies with the support of the Practice Administrator and HR.
Communicate regularly across departments and with providers to ensure optimal patient flow and to identify roadblocks preventing clinic efficiencies and overall patient satisfaction.
Assist in identifying gaps in staffing and development and work collaboratively with Practice Administrator and HR to improve.
Work alongside Practice Administrator to investigate patient complaints and ensure appropriate and timely follow up occurs.
Oversee maintenance of clinic property, computer systems and software and manage inventories to the appropriate level.
With the Practice Administrator, ensure compliance with all company policies/procedures and all federal, state, and local regulations.
In collaboration with Practice Administrator, assist with all required audits.
In the absence of the Practice Administrator, maintains overall authority over clinic operations, production goals and improvement plans, as required, meeting daily, weekly and/or monthly deadlines.
