PROGRAM ASSISTANT
Reports to: Program Manager
Status: Full-Time, Hourly
Pay Rate: $22.50 - $24.50 per hour DOE
Schedule: Monday - Friday, 8:30 am - 5:00 pm
Location: Vineyard Resource Center, 450 N. Livermore Avenue, Livermore

Definition:
The Program Assistant will support the Program Manager, Operations Director, staff, and volunteers. This full-time, hourly position may require occasional weekend and evening assignments.
Job Duties:
- Front Desk and Guest Assistance: Serve as front desk greeter and assist guests with check-in.
- Client Intake: Assist with client intake, create scan cards, and accurately input information into appropriate databases.
- Paperwork Management: Manage paperwork, including making copies and filing.
- Community Closet Oversight: Oversee inventory, organize donations, maintain cleanliness, and manage the opening and closing for guests.
- Communication Materials: Create, distribute, and maintain flyers, including those from partner agencies.
- Bulletin Board Maintenance: Ensure bulletin boards are up-to-date and well-organized.
- Data Entry: Perform data entry tasks accurately and efficiently.
- Event Support: Assist with the setup and breakdown of events.
- Scheduling and Reservations: Assist the Program Manager with scheduling and room reservations for partner agencies.
- Customer Service: Handle inbound and outbound calls, answer questions, and provide basic troubleshooting assistance.
- Issue Resolution: Take guest complaints or issues and pass them on to the appropriate parties.
- Special Projects: Assist staff with other Open Heart Kitchen special projects as requested.
- Additional Duties: Perform other reasonable duties as required.
QUALIFICATIONS
Education and Experience
- High School Diploma or Equivalent: Required.
- Relevant Work Experience: At least two years of experience in a similar role.
Communication Skills
- Bilingual: English and Spanish skills are highly desirable.
- Excellent Communication: Strong written and verbal communication skills.
- Relationship Building: Comfortable building relationships with diverse groups, including youth, seniors, and community members.
Organizational Skills
- Creative Problem-Solver: Able to tackle complex problems while maintaining professionalism.
- Organizational Abilities: Capable of organizing and instructing people of various age groups and backgrounds.
- Flexibility: Able to quickly shift between activities and duties if priorities change.
Computer Skills
- Proficiency in Microsoft Office: Particularly Excel and data management.
- Experience with Google Suite: Gmail, Google Drive, Google Sheets, and Google Docs experience is highly desirable.
- Adobe Acrobat: Proficiency required.
Requirements:
- Negative TB Test: Proof required, re-test every four years.
- Flexible Availability: Ability to work occasional weekends and evenings.
- Physical Requirements: Occasionally lift and/or move up to 50 pounds.
