The Director of Operations is a new role at First Finish and serves as a crucial liaison between the field team and the Vice President of Operations. This role is essential to successful field operations by ensuring compliance across all field staff and projects. This position will also leverage the skills of the receptionist to perform essential tasks such as Procore data entry and reporting/distribution. This position is responsible to help the field staff be successful.
Key responsibilities:
Liaison Role: act as the primary communication link between field teams and the VP of Operations to ensure seamless operations and compliance.
Compliance Assurance: Oversee and ensure that all field activities comply with organizational standards and project requirements.
Communication and Documentation: Maintain organized communication and thorough documentation to support compliance efforts.
Integrated Responsibility: Manage field operational methods and technical compliance, recognizing that success in one area supports the other.
Analytics: Produce analytics for partners demonstrating compliance, trends and recommendations for improvement.
This role demands a high level of organization and the ability to manage complex compliance requirements while supporting field operations.
Oversee, train, and ensure compliance of field staff in the following areas:
· Submission of daily reports
· Checkoffs/pre-existing conditions
· Material receiving, storage, inventory.
· Inspections
· Submittals
· Timesheets
· Incident reports
· Punch
· T&M tickets
· Coordinating job mobilization and kick-off meetings.
· Create and manage project-related documents within the Procore system during job kick-off.
· Facilitating end-of-job closeout procedures.
· Ensure that the permit is closed out for each project.
· Observations/RFI’s
In addition to the Procore and field duties, the Director of Operations will be responsible for ensuring that the following items are correctly maintained by the field staff on each job site/project:
Whiteboard and Scheduling Tracking: Ensure scheduling and compliance are accurately tracked on the whiteboard.
Communication and Coordination: Maintain active dialogue with internal and external team members to ensure proper communication and coordination on critical project components.
OSHA Compliance: Ensure all project operations adhere to OSHA standards.
Permitting and Documentation: Ensure proper permits, inspection stickers, and other pertinent project information are posted and available on the job site.
Site Observation Documentation: Complete and document site observation during each job site visit.
Travel: 80% travel weekly to various project sites across the continental US. This position is expected to attend job mobilization meetings, kick-off meetings, project check-ins and project closing in person. This position is expected to monitor projects and respond if any project goes off track or ideally prevent this from happening.
Experience:
· Minimum of 10 yr. Field experience in a supervisory role (ideally, senior/general superintendent)
· Must understand and be willing to commit to 80% travel for this position.
· Must be proficient in Procore and Procore Certified
· Extensive understanding of all construction divisions
· Familiarity with the processes and sequence of work for renovation projects
· Proficient in Excel, Microsoft Office, and Office 365.
· Exceptional communication skills and ability to interact effectively with all levels of staff.
· Exceptional conflict resolution skills.
· Personable at all levels of staff, exhibiting excellent communication across the organization. Skilled people manager.
· Proven ability to build and lead cohesive teams.
· Ability to regularly stand, walk, sit, traverse construction job site terrain, climb ladders and stairs, stoop, kneel, and crouch in all weather conditions.
· Must be able to lift and carry up to 50 pounds when necessary.
· Strong analytical and problem-solving skills.
· Ability to work well under pressure and meet tight deadlines.
· Creative thinking and a proactive approach to work.
