Job Responsibilities:
- ensure building is open and closed at appropriate times associated with calendar of treatment services and events.
- Notify supervisor when inventory levels and dwindling to allow for the ordering of replacements to ensure facility is stocked with necessary supplies.
- Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages or scheduling appointments.
- Schedule appointments for clinical services with available providers – verify demographic, payer and authorization information at each visit. Make reminder calls regarding upcoming appointments and reschedule existing appointments based on cancellations.
- Greet persons entering office, determine nature and purpose of visit, direct or escort them to specific destinations.
- Receive payments and record receipts for services, file and maintain records, perform duties such as taking care of plants or straightening magazines to maintain lobby or reception area.
- Enroll individuals and employees into administrative databases, verify accuracy of billing data and review any errors.
- Resolve individual complaints or answer customers’ questions regarding policies and procedures.
- Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
- Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
- Prepare meeting agendas, attend meetings, and record/transcribe minutes.
- Provide supervision to office support staff and volunteers.
- Perform work activities which contribute to the compliance & adherence of Willow Oak to state laws, funder expectations, licensure and CARF Accreditation Standards.

REQUIRED COMPETENCIES:
1. Experienced with Electronic Health Records
2. Basic computer skills, drivers license
3. Must be able to communicate effectively in written and verbal format
4. Customer Service
5. Certified Medical Assistant or Certified Nursing Assistant
KEY PERFORMANCE INDICATORS:
1. Clinical appointments are scheduled within 24 hours of notification
2. No Show Rate of less than 18% for scheduled appointments
3. Return all phone/email inquiries from individuals within 24 hours
4. Completion of required training a minimum of 24 hours prior to due date
PREFERRED QUALIFICATIONS:
- Proficiency with computers, the internet, email and MS Office products as well as own a personal computer, printer and mobile phone.
- Some college or medical assistant
