Job Summary:
The Receptionist/Office Coordinator is detail-oriented and highly organized. Maintains office efficiency in a large office setting, fostering a welcoming atmosphere and serving as the initial contact for visitors.
Responsibilities:
Reception – must be reliable, presentable, friendly and welcoming; answer and properly route calls, greet visitors and route to appropriate person(s)
Conference room coordination – reserve rooms and visiting offices ensuring no conflicts, best fit for needs; ensure coordination and problem-solve any last-minute needs and changes
Mail and faxes – must be reliable, accurate, proactive, and willing to help, ensure proper and timely delivery of both incoming and outgoing deliveries
Office Services – responsible for ordering, maintaining inventory, and stocking office, kitchen, and conference area supplies; maintain cleanliness in kitchens, conference rooms and general areas, printing and supply areas
Serve as vendor contact – coordinate deliveries, building services, supply orders, quotes, service contracts, etc.
Facilities – serve as a Firm contact for facility needs, maintain working relationship with building management to ensure facility issues are addressed, ensure office remains organized and tidy
Admin Support – assist legal assistants, attorneys, staff, and managers with projects as assigned; must possess an ability to take direction from multiple sources and prioritize work according to Firm goals
Requirements:
- Good attitude, reliability, proactive willingness to help others and the Firm
- Attention to detail, ability to reason and consider alternative solutions to ad hoc problems
- Excellent communication skills both written and verbal
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook)
- Experience with phone system, computer and software including Adobe, printing, scanning, postage machine
- Receptionist experience required
Essential Physical Functions:
Ability to move around the office, lift and carry 10-40 pounds, push and pull, walk up and down stairs, sit for extended periods, and reach overhead
