We’re looking for a Veterinary Office Manager to oversee the daily operations of our small animal practice. The ideal candidate will have experience managing an office, be highly organized, and have excellent customer service skills.
Veterinary office managers manage the day-to-day operations of the office, to include but not limited to; overseeing front end staff, scheduling appointments, accounts payable and receivable, ordering supplies and inventory, handling customer complaints and ensuring the office runs smoothly.
Veterinary office managers supervise the day-to-day administrative functions of the practice working beside the Veterinary Practice Manager.
Veterinary Office Manager Duties:
- Coordinate and manage communications between veterinarians and staff members
- Create and maintain client records, customer accounts, and financial records
- Coordinate scheduling for the front end staff members and doctor scheduling
- Coordinate resources, equipment, and staffing
- Promote exceptional customer service
- Follow policies and procedures of the facility
- Promote a positive and professional image for the office
- Assist in providing a clean and organized environment for clients and patients
Veterinary Office Manager Responsibilities:
- Manage the daily operations of the veterinary office, including front desk, scheduling, and billing
- Review client and animal records to confirm complete and accurate information, make necessary changes, and verify accuracy of all bills
- Take office and client phone calls in a polite and professional manner
- Manage the electronic medical records system (Impromed)
- Track daily cash flow, and reconcile all bank accounts, and credit cards at the end of each shift
- Prepare monthly financial statements for the bookkeeper, and promptly respond to accounting firm for additional information as needed
- Maintain good relationship with all clients, employees, and ensure all clients are satisfied before leaving the practice
- Maintain current inventory system and order supplies as needed
- Assist with cleanliness of the office area, and client waiting areas
- Comply with all laws and regulations
Requirements And Skills:
- Bachelor’s degree in business management, finance, accounting, or related field preferred but not required
- High School Diploma or GED
- 2+ years’ experience in veterinary office management
- Effective interpersonal, communication, and organizational skills
- Ability to multi-task, meet deadlines, and prioritize workload
- This position requires a 40 hour work week Monday through Friday and working occasional Saturdays
