Job Title: Front Office Administrator
Purpose/Description:
The function of the Front Office Administrator represents the organization by being the first impression whether by phone or in person. The Front Office Administrator ensures that the mission, vision, and story of Stirling is properly communicated to our clients, prospects, and community. Furthermore, the Front Office Administrator operates in a professional manner working closely with the Executive Assistant, Partners, and team members to help meet the needs throughout the organization.
Formal Policy/Setting Responsibilities:
Reports directly to Executive Assistant.
Routine Decision Making:
· Determines priority for daily items.
· Ensures clients & team members receive excellent service.
· Meets project deadlines.
Primary Responsibilities
Description:
1. Answers and directs incoming calls to the appropriate agent/department/division.
2. Greets all clients as they come into the office or on the phone with enthusiasm and in a professional manner.
3. Assist in determining needs of visiting clients and guests.
4. Keeps the front desk tidy and presentable with all the necessary supplies and information.
5. Miscellaneous administrative clues such as managing the incoming and outgoing mail, managing the property key cabinet and morning kitchen tasks.
6. Attends and participates in industry and/or professional education opportunities.
7. Become familiar with all service lines and the functions of each location.
8. Coordinates CRE brokers with the team member who can assist them with their specific accounting, marketing, and listing needs.
9. Works with Executive Assistant to monitor office supplies and place orders when necessary and within budget.
10. Assists Executive Assistant to coordinate travel arrangements, office events and schedules.
11. Works closely with Executive Assistant and provides back-up support when necessary.
12. Works cohesively with all divisions on specific projects.
13. Performs other duties as assigned.
