Job Summary:
We are a dynamic and fast-paced dance convention organization based in Orlando, FL. Our mission is to provide exceptional dance experiences and competitions that inspire dancers of all ages and levels. We are looking for a dedicated and organized Clerical Assistant to join our team and help us ensure our events run smoothly and efficiently
Duties:
- Demonstrates a professional level of verbal and written communication while participating in meetings, answering emails, engaging in phone calls, and other correspondences.
- Ability to maintain professional discretion in handling sensitive information and ensuring that all interactions with clients are kept confidential.
- Ability to collaborate with others with diverse backgrounds and experiences.
- Manage and maintain schedules, appointments, and travel arrangements for the executive team
- Coordinate and oversee event logistics, including registration, scheduling, and communications
- Handle all incoming and outgoing communications, ensuring timely and professional responses
- Prepare and manage documents, reports, and presentations
- Maintain accurate records and files, both electronic and physical, related to convention and competition activities
- Assist in the preparation and distribution of marketing materials and information to participants
- Provide support during conventions and competitions, handling various tasks as needed to ensure smooth operations
- Coordinate with vendors, venues, and other stakeholders to ensure all event needs are met
- Maintain a high level of customer service, addressing participant inquiries and concerns promptly and effectively
Requirements:
- Associates degree or equivalent
- At least 1+ years’ experience as an Clerical Assistant
- Proficiency in Microsoft Excel and other Microsoft Office applications
- Excellent time management skills, ability to prioritize tasks in a fast-paced environment
- Strong written and verbal communication skills
- Ability to handle multiple moving parts and adapt to changing circumstances
- Detail-oriented with strong organizational skills
- Strong problem-solving skills and the ability to think on your feet
- Experience with event management software and tools
- Ability to maintain a calm and professional demeanor under pressure
- Superior verbal and written communication skills
- Excellent customer service skills
