Job Description:
As an Executive Assistant at the Haylie Pomroy Group Inc., your role is pivotal in managing the CEO's daily effectiveness.
North Star Principles:
Protect CEO’s Time, Health, and Energy: Filter all inbound requests to keep an eye out for those people/places/things that are important and help prioritize them. Ensure that the CEO has what she needs to be successful in all capacities.
Efficiency in Calendar: Be as efficient as possible. Be clear, committed, and include context.
Appreciates the Response: Whether that’s a clear ‘yes’ with the appropriate calendar info for an upcoming meeting or a ‘not at this time’ reply, every email and correspondence should be answered clearly and kindly.
Design the Play: Be preemptive. Come prepared and aware of all the moving pieces and how to address them ahead of time.
Prioritize Revenue: Order tasks based on what will generate the biggest outcome to support revenue. Profit solves all problems. Make or save money is priority.
Key Areas of Responsibilities:
Email, Text, and Communication Filtering: Regularly check and prioritize incoming communications to ensure the CEO addresses only the most critical items.
Maintain a 360 View of the CEO’s Needs: Ensure that all needs, both personal and business are met on a daily, weekly, and monthly basis to ensure the CEO stays healthy and productive.
Meeting Coordination: Schedule and organize meetings, ensuring they are necessary and productive.
Calendar Management: Maintain a clear and organized calendar, balancing work and personal commitments.
Travel Planning: Arrange all aspects of travel, including itineraries, accommodations, and transportation.
Event Planning: Organize and oversee corporate events, ensuring they align with business goals and the CEO's availability.
Financial Monitoring: Keep an eye on expenses and budgets related to the CEO's activities and office.
A LOVE of Animals: The CEO’s pets bring joy and energy; any individual in this role must ensure they are well cared for.
Project Tracking: Stay informed about key business projects and deadlines to advise and update the CEO as needed.
Time Management: Continuously look for ways to make the CEO's schedule more efficient.
Networking Coordination: Manage contacts and networking opportunities, aligning them with business priorities.
Personal Appointments: Handle personal appointments to ensure a balanced lifestyle for the CEO.
Document Preparation: Assist with the preparation and editing of documents, presentations, and reports, ensuring accuracy and adherence to company standards.
Office Management: Maintain office organization and efficiency by ordering supplies, managing office equipment, and overseeing day-to-day operations.
Confidentiality Management: Safeguard sensitive information, ensuring privacy and security.
Task Prioritization: Regularly assess tasks and priorities to align with the CEO's strategic goals.
Team Communication: Act as a liaison between the CEO and other staff members or departments.
Feedback and Reporting: Gather and relay relevant feedback or reports to the CEO for informed decision-making.
Problem-Solving: Anticipate and address potential issues before they reach the CEO, ensuring smooth operations.
Qualifications:
Proven experience as an executive assistant or similar role, preferably in a fast-paced environment.
Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
Strong communication skills, both written and verbal, with a professional and personable demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Detail-oriented with a high level of accuracy and discretion in handling confidential information.
Ability to work independently and collaboratively in a dynamic team environment.
Flexibility to adapt to changing priorities and willingness to take on new challenges.

Kindly note this position is currently planned to require 5 days per week in office in Rolling Hills Estates in Los Angeles County. Please contemplate your willingness and ability to commute to this location prior to submitting your application. Also note that this position requires an early morning start--7-8AM, and does also require occasional travel for business.

Pay: $70,000.00 - $75,000.00 per year
