Job Summary:
We are seeking a highly organized, detail-oriented, and proactive Strategic Operations & Financial Administrator to support our executive team and manage our financial records. The ideal candidate will have a strong background in administrative support and bookkeeping, with a keen eye for detail and the ability to multitask in a fast-paced and fun environment. This role is integral to the smooth operation of our business and requires a high level of professionalism, discretion, and integrity. The position offers flexibility, including a hybrid work environment, allowing for many work activities to be performed outside of the office.
Key Responsibilities:
Executive Assistant Duties:
- Prepare and edit correspondence, reports, presentations, legal and other documents as needed.
- Serve as a point of contact for internal and external stakeholders including investors, lenders and property managers, ensuring prompt and professional communication.
- Conduct research and compile information to assist executives in decision-making processes.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist in the preparation of marketing materials, including brochures, flyers, and online content.
Bookkeeping Duties:
- Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, payroll, and general ledger entries.
- Reconcile bank statements and monitor cash flow to ensure financial stability.
- Prepare and process invoices, expense reports, and purchase orders.
- Assist in the preparation of financial statements, budgets, and reports for management review.
- Coordinate with external accountants and auditors to ensure compliance with tax regulations and financial reporting requirements.
- Perform monthly, quarterly, and annual closing activities.
- Monitor and manage company credit cards and expense reimbursements.
Property Management Duties:
- Oversee the day-to-day operations of a small number of local Santa Barbara apartment properties.
- Coordinate maintenance and repairs, and manage relationships with contractors and service providers.
- Handle tenant inquiries and requests promptly and professionally.
- Prepare and manage lease agreements.
- Manage tenant move-ins and move-outs, including the preparation of units for new tenants.
- Collect rent and manage tenant accounts, addressing any delinquencies or disputes.
- Develop and implement marketing strategies to attract and retain tenants, including advertising vacancies and conducting property showings.
Qualifications:
- Bachelor’s degree in Business Administration, Accounting, Finance, or a related field preferred.
- Minimum of 3 years of experience in an executive assistant or bookkeeping role, preferably in the real estate industry.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Docs.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- High level of accuracy and attention to detail.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and a proactive approach to tasks.
- Discretion and integrity in handling confidential information.
- Critically about tasks, continuously looking for ways to make them more efficient with the help of technology.

Job Type: Full-time
Pay: $62,000.00 - $72,000.00 per year
