Position Overview:
The primary responsibilities of the HR Specialist-Onboarding are overseeing the onboarding process and new hire orientation. This individual will also support new hire and annual required training in compliance with Ryan Health’s required protocols. This work is carried out in support of the mission and goals of Ryan Health.
Essential Functions:
- Commence onboarding process by creating and sending offer letter, and welcome email with information regarding background, employment physical to external, internal hires, and status changes.

Follow onboarding and notification procedures with appropriate departments (e.g., IT and Credentialing) to ensure new employees are set-up with the necessary resources and scheduled for new employee orientation.
- Conduct pre-hire procedures to ascertain pre-hire requirements and paperwork, including criminal background checks, references, license verifications, etc. have been received.

Determine if a hire has been cleared to begin employment. Escalate to the Senior Director, Human Resources, those individuals having onboarding-related issues that may lead to the rescinding of employment offers.

When a hire is cleared to start send clearance email & HRIS registration invitation.

Onboard & clear contracted staff such as medical students, scribes, ophthalmologist, interns, and other temporary/contracted hires, and ensure they have registered with our HRIS System.

Work with Senior Director, Human Resources, as necessary in relation to new hire orientation functions or background results in question.

Assure that all onboarding documentation is entered into the new employee’s electronic personnel file.
2. New Hire Orientation (NHO)

Ensure and NHO process is planned and communicated to appropriate and necessary parties and Facilitators (i.e. presenters, Credentialing, Information Technology staff).
- During NHO week work flexible hours to welcome and dismiss new hires.
- Send welcome/list of new hires to all staff prior to NHO week.

Track, maintain and update NHO schedule as needed.

Schedule appropriate rooms for the length of NHO and ensure the smooth delivery of NHO.
- Ensure all Power Point presentations are updated in the NHO folder and ready for presentation.

Ensure the NHO trainings are entered in the HRIS system (i.e. HIPAA, Title X, SOGI, NHO, etc.)
- Ensure appropriate literature (i.e. pocket guides, flyers) are distributed.
3. Training
- Support and coordinate required staff trainings via appropriate method (i.e. interactive online modules, power point) to the extent necessary as directed by the Senior Director, Human Resources.
4. Other:

Immediately report any onboarding issues encountered.

Performs the essential functions of the Human Resources Specialist – Human Capital Management, in the absence of this individual or as directed by the Senior Director, Human Resources.
- Other duties and/or projects as assigned.
Minimum Experience and Skills Required:

Two years of similar or relevant experience in a mid-sized (250+ employees) organization.
- Ability to balance shifting priorities and keep track of multiple tasks and deadlines.

Excellent communication & interpersonal skills.

- Strong computer literacy with proficiency in standard office software such as Microsoft Word, Excel, Outlook, Power Point, and Access.
- Proficiency with Human Resources Information Systems & Applicant Tracking System
Education, Licenses, and/or Certifications Required:

Associate degree required or an equivalent combination of education and related work experience.
