We are seeking a highly organized and experienced Personal Assistant / Property Manager who takes a hands-on approach to their work. As part of your role, you will be responsible for ensuring the proper organization and efficiency of the clients secondary property in Winnetka, IL. This includes overseeing a variety of tasks, from running errands to handling administrative duties for the family.
This is a part time role (20 hours / week) with an hourly pay of $20-$25. Flexibility to work a weekend day is highly preferred. This is an ON-SITE role.
Your main responsibilities will involve ensuring the well-being of the family and grounds of the property. This includes running errands of any size, scheduling tasks in a timely manner, and acting as a central point of contact for all communication. Proactively anticipating needs and resolving issues as they arise will be crucial . You will be responsible for managing various contractors and third-party vendors. We are looking for a mature, organized professional who can handle a wide range of responsibilities and ensure the smooth operation of the estate.
Qualifications & Skills
- Experience as a personal/executive assistant OR transferable experience
- Highly organized; a lover of Excel spreadsheets and attention to detail
- Willingness to take on a wide array of tasks and ability to keep many plates spinning at once; the ability to prioritize and manage time wisely
- Highly effective verbal and written communication skills; ability to communicate concisely
- Extremely personable and skilled at relationship building
- Ability to thrive and solve problems under pressure
- Forward thinking; ability to anticipate clients needs and adapt quickly
- Holds a valid driver's license and comfortable with operating a vehicle
Responsibilities
- Act as a spokesperson for the clients on all matters, sometimes making administrative decisions and take action in the client’s absence
- Liaise with and/or hire other family staff, vendors, and contractors for various projects
- Act as Chief Problem Solver when household issues arise
- Assist with car related maintenance and driving on occasion
- Coordinate projects by capturing timelines, strategies, and delivering progress updates
- Maintain a high level of confidentiality
- Manage furniture items- setup delivery for items, manage progress, oversee delivery and unpacking
- Perform miscellaneous tasks such as managing ingoing/outgoing mail & returns, running errands, shopping for clothes and other needs, etc.
