Job Summary:
Small, well-established Interior Design firm is seeking a full-time office manager and bookkeeper to support the day-to-day functions of the company. This role will report directly to the Designer/President. This individual will be responsible for processing all financial transactions with accuracy and providing proactive, high-level administrative support to the team.
Bookkeeping-
- QuickBooks Desktop Pro
- Accounts Payable/Accounts Receivable
- General ledger and financial account reconciliation
- Monthly and weekly financial statements
- Work with CPA on corporate income tax and prepare 1099's
- File monthly Sales Tax
Logistics & Vendor Management-
- Follow up on all outstanding Purchase Orders.
- Schedule all deliveries and installations.
- Maintain up-to-date progress worksheets for each client.
- Manage order fulfillment process for all furnishings.
- Schedule all travel and accommodations for Designer, including flight and hotel booking, and car rental.
Office Management-
- Order and maintain all office supplies, manage filing system.
- Answer phone calls and respond to emails in a professional manner.
- Make client binders, sort fabric & leather samples when needed.
- Work with third-party IT company to address all computer/network related issues.
Skills-
- Experience with QuickBooks Desktop Pro is required.
- 2-5 years of proven experience as a Bookkeeper, Office Manager or Administrative Assistant.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google.
- Excellent time management skills and ability to multi-task and prioritize work.
- Extreme attention to detail and excellent problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and project management skills.
- Ability to work independently.
- Solid sense of discretion and professionalism.
- Experience working in interior design, architecture, or construction industries is a plus!
