As a Receptionist at JM Search, you will be responsible for ensuring the successful day-to-day operations of the King of Prussia, PA headquarters office by partnering with various leaders across the firm to uphold and maintain office initiatives, functions and standards. Requirements:
Roles and Responsibilities:

Greet clients, visitors and guests; determine the purpose of each person’s visit and direct or escort them to the appropriate location.

Assist recruiters with DocuSign, NDAs and candidate background checks.

Receive and distribute incoming mail and packages, as well as post any outgoing mail. Responsible for postage meter upkeep and daily organization of copy/mail room.

Maintain and coordinate daily use of conference rooms in the King of Prussia, PA office.

Assist with guest schedule, new hire badges, office supplies and maintenance issues in additional office locations.

Maintain and organize office and kitchen supplies and partner with Office Manager to ensure proper supplies onsite.

Assist Office Manager with building needs, including conducting weekly office reviews and coordinating work orders with property manager when needed.

Provide routine administrative support such as resume processing and data entry as requested.

Coordinate employee headshot photoshoots and business card orders with appropriate parties.

Work with candidates, recruiters, and travel agents to coordinate travel as needed, managing the costs and record keeping.

Assist with new hire preparation, including ordering of supplies and internal communication. Additionally, support and assist with onboarding coordination.

Assist with lunch coordination for onsite interviews and team meetings.

Support event and meeting coordination.

Additional projects as assigned, i.e. calendar management for leaders.
Qualifications & Experience:

2+ years of administrative or customer service experience that aligns to the duties of this position.

High School diploma or equivalent required.

Excellent written and verbal communication skills.

Professional and friendly demeanor.

Client service oriented.

Organized, resourceful, and able to multi-task.

Working knowledge of Microsoft Office Suite.

Experience with DocuSign preferred.
