Clinical Secretary Supervisor
Inpatient Center (IPC)
Full Time
Schedule: Monday - Friday
8am - 5pm
Required to work: 2- 3 holidays/year
ESSENTIAL FUNCTIONS:
Supervises inpatient center clinical secretaries
Manages scheduling to ensure adequate coverage for clinical secretaries.
Manages overall operation of the inpatient center clinical secretarial functions
Covers for secretarial secretaries when needed
Reviews and updates job descriptions, prepares annual performance appraisals, and provides guidance and training as needed.
Meets regularly with staff to evaluate and update departmental procedures and review interdepartmental support needs.
Provides administrative assistance to center manager and shift supervisors.
Facilitates communication and customer service with patients and families to explain the programs offered at the IPC.
Assists with communication to patient/representative regarding residential fees and charges, and follows up with payment concerns.
Processes information and forms needed for residential transfer, including residential admission paperwork and financial information
Communicates and collaborates effectively with coworkers regarding patient transfers to ensure transfer is accomplished with ease.
Monitors waiting list of IPC referrals by communicating with patients, caregivers, and referral sources regarding eligibility and bed availability.
Maintains daily reports, including census and bed availability, reconciling census to bed board, create physical charts and completes center admission demographics
Supports day to day and ongoing staff scheduling, approving paid time off (PTO) , assisting with replacing vacancies and call-offs of all IPC staff.
Approves timesheets for all IPC staff
Assists with the maintenance of forms
Track pain improvement within 48 hours, enter data for visiting student nurses , collect pharmacy papers and deliver to inpatient center manager.
Ensure med chart counts are documented and maintain I
Completes facility walkthrough to audit food temperature checks
Assist in return of equipment from contracted providers
Communicates effectively with organizational staff, physicians, patients, volunteers, visitors, outside contractors and community agencies.
QUALIFICATIONS:
High school graduate or GED required
Microsoft Office Suite- Word, Excel, PowerPoint, Outlook and internet applications experience required.
Be able to communicate effectively with internal and external contacts to the organization
Handle multiple projects and details simultaneously
Requires self-direction
