The American Waterways Operators is the tugboat, towboat and barge industry's advocate, resource and united voice for safe, sustainable and efficient transportation on America's waterways, oceans and coasts. AWO members operate on the rivers, coasts, Great Lakes, and harbors of the United States, moving vital commodities safely, reducing air emissions, water pollution, and highway congestion, protecting homeland security, and providing family-wage jobs for tens of thousands of Americans. Who You Are
AWO is seeking an energetic, conscientious and diligent professional to support AWO operations, provide some technical and database functions, and perform administrative tasks essential to the daily operations of the association. The ideal candidate possesses strong organizational and problem-solving skills, can work with limited supervision and takes ownership and pride in their work. The candidate will have a strong understanding of office equipment, technology and database management, demonstrated knowledge of administrative functions, and a willingness to learn new skills. This role will require in-office tasks with the flexibility of a remote schedule.
Essential Responsibilities

Manage member database processes through

Member certification administration and processing

Maintain and update accurate member data

Register members for meetings and events

Manage Website and Intranet through

Keeping pages up to date with new information and removing aged information

Manage resource library

Manage office equipment and technology through
-
Ensuring printers and copiers are functioning and prepared for daily use
-
Prepare conference rooms for virtual meetings: maintain conference rooms schedule, set-up and trouble shoot connection issues, post meeting shut-down monitors and prepare room for next meeting.

Support the IT Director in preparation of laptops for system updates, new hires, and meetings

Support Event Manager in meeting preparation, execution, and post event tasks through

Stocking and preparing meeting materials for shipping

Printing materials, as necessary (badges, table tents, instructions, etc.)

Attend and support off-site meetings (1-2 annually)

Administrative and Office Management duties inclusive of, but not limited to:
-
Communicate with building engineer and landlord on office issues and upcoming events
-
Order and stock office with general supplies
-
Order and stock kitchen with supplies
-
Maintain office space for cleanliness and organization at all times
-
Responsible for all office shipping (UPS, USPS, Fedex) incoming and outgoing
-
Coordinate all incoming deliveries to include catering and meal orders
-
Screen incoming calls
-
Greet staff and guests to the office
-
Main POC for vendors (parking, supplies, deliveries)
Minimum Qualifications

Bachelor’s degree or equivalent related experience
-
Ideally 2+ years’ of office management experience

Demonstrated ability to assume progressive responsibilities

Must be detail oriented, organized, and able to manage multiple priorities

Reliable, pro-active, solution oriented

Team player with a positive attitude and ability to work independently
Physical Demands:
The incumbent executes some essential responsibilities that may require

Working with a computer for periods of time.

Regular change in movement to stand, sit, walk; also to reach, carry, stoop or kneel.

Ability to access and navigate all areas of the facility

Lift up to 15 pounds

Ability to travel locally to conduct office related business
Work Environment:
The incumbent operates in a professional office environment. The ability to work with a moderate amount of distraction and noise (phone, light traffic) and to work at a computer terminal for periods of time are characteristic of the environment when performing essential job functions.
Job Type: Full-Time, flexible remote schedule opportunity
Pay: $50,000 - 65,000 annual salary based on skills and experience
