Position Summary: The Volunteer Engagement Coordinator serves a vital role coordinating the day-to-day volunteer services at the Harry Chapin Food Bank. This position will provide support, information, data entry and engagement for volunteer activities. Supports the daily activities of Volunteers with an emphasis on scheduling for assignments, volunteer recruitment and volunteer retention.
Essential Duties and Responsibilities:
· Ensure volunteers have a memorable, worthwhile, and fantastic experience.
- Recruit volunteers for special events, mobile distributions, and various needs of the organization. Ensuring there is proper volunteer coverage at each event.
- Provides list of scheduled volunteers to Program Mangers and Operations Department at least 24 hours prior to the event.
- Manages the Volgistics Volunteer Management system, volunteer, group, and special assignments.
- Support and direct volunteers with signup / scheduling processes.
- Ensure that all rules and processes related to volunteering are properly followed.
- Ensure volunteer onboarding and training are maintained correctly.
- Builds friendly, social, and positive relationships with volunteers and donors.
- Organizes volunteers and their activities both on and off-site.
· Ensure smooth and effective coordination of volunteer activities with other departments.
· Oversees the arrival and intake process of volunteers at the beginning of their shifts.
· Set-up, prepare, and organize the volunteer activities prior to arrival, according to the volunteer schedule.
· Responsible for overseeing and ensuring the smooth, efficient, and sanitary operations of the volunteer department. Including properly receiving products, inventory control, supervising and training individuals and group volunteers.
· Educate, train, and ensure food safety and a safe work environment is always maintained.
· Evaluate volunteers on a regular basis and retrain as necessary.
· Ensures that all rules, SOP’s and processes related to volunteers are followed correctly.
· Ensure smooth coordination and collaboration of volunteer activities with other departments.
· Collaborates with Warehouse Manager, CSFP/Care and Share Coordinator and other HCFB staff to coordinate, schedule, prepare, and organize volunteer activities for warehouse tasks and other assignments.
· Achieve and exceed goals.
· Hold ServSafe Manager and Forklift certifications (you will be responsible for moving pallets and products throughout the warehouse).
· Harry Chapin Food Bank is a “second responder” in the event of a community emergency or disaster. During an emergency or disaster, and only after an employee’s personal responsibilities are under control, employees are asked to report for work to be available to help in ways that may be different from their normal work responsibilities. In addition, employees may be temporarily transferred to other food banks (travel expenses paid) to assist them in recovering from the disaster.
· Communicates regularly with supervisor about department issues.
· Perform any other duties as needed to ensure smooth operation of the distribution center, as well as to fulfill our mission, drive our vision and abide by our values.
Qualifications:
· High school diploma or general education degree (GED) required.
· 1-2 years minimum experience in volunteer coordination
· Ability to effectively coordinate multiple projects/events and adhere to deadlines in a high-energy, fast-paced environment.
· ServSafe certified preferred, Food Handlers Certificate a minimum requirement.
· Ability to operate a wide array of material handling equipment such as pallet jack, weight scales, forklift.
· Strong written, oral, and interpersonal communications skills
· Proficiency in Windows, Microsoft Word, Excel, and Outlook

Specific to Position:
- Associate degree preferred, but not required.
- 1-2 years minimum experience in volunteer coordination and/or a supervisory role.
- Maintain ServSafe certificate.
- Willing to be trained and operate forklifts, electric pallet jacks, working in a warehouse setting.
- Excellent oral and written communication skills and organizational skills.
- Computer literate in Microsoft applications, such as Excel and Word.
- Customer service focused.
- Availability to work evenings and weekends
Working Conditions: Ability to perform physical labor as necessary to assist in achieving HCFB mission.
While the responsibilities of this position are performed at times in a warehouse environment and at other times in an office environment, it is critical that the employee can support food drive and food sorting activities, and that the employee can periodically withstand long workdays in support of HCFB special events. Work is performed in a hot, humid warehouse most of the day, with a significant amount of walking on concrete surfaces. Work conditions during the summer months can be very hot, and during the winter very cold. Workspace could be very dusty, and on occasions can be noisy due to the traffic of motorized vehicles operated in the building. Work involves lifting, bending, stooping, pulling, picking up and moving objects up to 30 to 50 pounds.

Pay: $20.30 - $21.30 per hour
