Position Title: Executive Assistant to the CEO & Executive Administrative Supervisor

* Incumbent must work in office in Atlanta four (4) days per week and may work remotely one (1) day per week with manager approval
Summary:
The Executive Assistant to the CEO & Executive Administrative Supervisor provides advanced and diverse administrative and technical support to the President and CEO with limited supervision. Works closely with members of the Executive and Management teams, Board members, and other external parties and coordinates and supervises day-to-day operations of all administrative staff. Exercises judgment and discretion in all aspects of the position, with exposure to confidential and highly sensitive information; and is self-directed, deadline driven and flexible with a varying work schedule.
Key Responsibilities/Accountabilities:

Demonstrates leadership, teamwork, and organizational skills in performing diverse administrative services, using initiative and good judgment with a high degree of competency, independence and a broad knowledge of corporate operations and policy.

Builds and maintains positive and effective working relationships with Board members, Participants, the Executive and Management team, and other MEAG staff through effective channels of communication, and provides vital linkage between the President and business affiliates.

Provides priority time management by screening the President's calls; coordinating the daily work schedule; prioritizing and scheduling meetings; assigning and scheduling items needing action by the President; composing original correspondence for President's signature; and ensuring requests for action or information are relayed to appropriate staff members and responded to in a timely manner.

Partner with Executive and Management staff to coordinate the attendance and participation in various conferences, trainings, events, meetings and activities, including registration, flights, car rentals, hotels, etc. of the Administrative Staff.

Coordinates travel arrangements for the President & CEO, including registration, flights, car rentals, hotels, etc. Prepares CEO’s expense report and reviews CEO direct expense report for accuracy.

Coordinates monthly Board meetings and special called Board meetings, including planning, scheduling, notifying, taking, and distributing meeting minutes and ensuring practices are consistent with standards of corporate governance.

Represents the President and CEO and Executive and Management team both inside the organization to employees and externally to the Board and Participants in a positive and effective manner.

Prepares reports and documents that may be very broad in nature requiring originality and ingenuity.

Provides assistance, coordinating and carrying out various events with the Government and Participant Affairs department.

Prepares specialized reports, budgets, and special projects.

Supervises Administrative staff and coordinates staff workload, activities and tasks and other internal departments and external events as needed to meet organizational, project and event goals and communicates progress of same (example: adhoc projects, teambuilding, administrative professionals’ day, etc.)

Manages schedules, time off requests, and reviews and approves administrative staff timesheets and expense reports in coordination with Executives and Management.

Partners with Executive, Management staff, and Human Resources to attract, train and evaluate performance of administrative staff.

Reviews administrative systems, processes and procedures and develop recommendations for improvement to create efficiencies in partnership with Executive and/or Management staff.

Travels to corporate functions to support CEO and executives.

Performs other duties as assigned.
Qualifications:
-
Position generally requires a Bachelor’s degree or equivalent experience.

7-10 years of administrative experience and 3-5 years supervisory or leadership experience.

Demonstrates experience and familiarity with Board of Directors governance compliance.

Ability to travel overnight 5-10% of the time.
-
Must possess excellent verbal and written communications skills.
-
Excellent customer service and interpersonal skills.
-
Ability to work extended hours with little to no notice based on business necessities and as required by the President and CEO.

Demonstrates high degree of professionalism, respect, integrity, confidentiality with all levels of internal and external partners.

Demonstrates analytical skills and ability to handle complex administrative details and tasks.

Demonstrates outstanding organizational skills and ability to manage multiple activities simultaneously.

Demonstrates excellent mathematical skills.

Demonstrated ability to type 60 wpm.

Excellent proofreading and computer skills with specific proficiency in Microsoft Office products and various computer software programs.

Certified Professional Secretary (CPS) certification a plus.

Prior experience working in a law firm a plus.

3-5 years of manager experience preferred.
