Office Coordinator
Candidate must be able to multi-task easily, very detail oriented, self-starter, professional and outgoing, strong communication skills, organized, adaptable to changing work environments and changing deadlines, good time management skills and able to work with confidential matters.
Administrative Support:
Provide comprehensive administrative and clerical support to the President.
Sort and distribute incoming mail daily.
Run errands as needed (e.g., post office, office supplies).
Answer phone calls and greet office visitors.
Schedule and coordinate meetings and appointments in conference rooms.
Assist in the setup and teardown of office events.
Help proofread newsletters and flyers.
Office Operations:
Refill postage meter and manage supplies as necessary.
Monitor and order toner for copiers.
Track and manage inventory of office supplies; reorder as needed.
Organize and maintain the kitchen, storage, and fax rooms.
Bookkeeping:
Invoice monthly dues for chamber members and others.
Record all cash receipts and payments from members.
Mail out checks and file paid bills.
Issue past due statements for dues and other invoices.
Reconcile petty cash regularly.
Conduct bank runs as required.
Event Coordination:
Annual Banquet:
Coordinate invitations and manage RSVP list.
Assist with decorations and name tag preparation.
Check in members and assist with event setup and cleanup.
Golf Tournament:
Manage teams and billing.
Coordinate food and prizes.
Check in players on the tournament day.
Prepare change and prizes.
Chamber Lunches:
Send invitations and manage attendee list.
Coordinate with venue regarding headcount.
Prepare change and receipts.
Manage registration table at the event.
Coffees/Business After Hours/Ribbon Cuttings:
Schedule events and send notifications.
Board Meetings:
Set up room for event
Order/pick-up food (if necessary)
Membership Services:
Manage ChamberMaster:
Add and update members as necessary.
Distribute new resident lists.
Send monthly letters to new businesses.
Coordinate Member Monday Moment email blasts.
Assist with membership sales as needed.
Website:
Website Maintenance:
Update event calendar and other information as needed.
Update job listing page
Venue Rental:
Manage auditorium and conference room rentals.
Track deposits and payments.
Confirm weekend availability for renters.
Ambassador Committee:
Coordinate monthly meetings.
Keep ambassadors informed about upcoming events.
Maintain their page on the chamber website.
Other Responsibilities:
Support Connect Dickson and Women Inspiring Women groups.
Perform other duties as assigned.

Pay: $35,000.00 - $38,000.00 per year
