Job Title: Special Projects Coordinator
FLSA Status: Non-Exempt
Summary: This position works in the community and leads volunteer engagement efforts, the Point in Time (PIT) Count and Survey, and a variety of CoC strategic initiatives. The Special Projects Coordinator will consist of two primary areas of responsibility – project management / support and relationship management / community engagement. This position will be responsible for developing strategic initiatives and partnerships with key staff and internal and external stakeholders. This position works collaboratively with the HMIS team, CoC councils and committees, the Senior Manager of Advancement and Strategy, and partners to ensure high quality program service delivery. This role is expected to represent the agency positively to the community, interpreting agency services to other agencies and public groups. The Special Projects Coordinator reports directly to the Senior Manager of Advancement and Strategy.
Duties and Responsibilities:
· Treat everyone – including those experiencing and at-risk of homelessness – with compassion, dignity, and respect.
· Be comfortable working independently, thinking creatively, researching, utilizing historical documents and data to inform decisions.
· Manage the annual Point in Time (PIT) Count, a large-scale volunteer event. PIT occurs in January and requires 8-10 months of planning; this event involves over 350 volunteers and dozens of partner agencies. The Special Projects Coordinator is responsible for overall event operation, liaising with (sub)committee leadership, maintaining timelines and budgets, hiring a researcher, collaborating with internal and external partners, and ensuring publication and distribution of the PIT Report.
· Manage the HLA’s volunteer programs, including identifying volunteer leaders and helping Continuum of Care (CoC) partners meet volunteer needs and. A volunteer database – including descriptions for each role – must also be maintained.
· Identify community outreach opportunities and attend recruiting events to attract qualified volunteer candidates and community partners. This role is responsible for scheduling, staffing, and managing events.
· Engage in community outreach promoting the organization and services to increase visibility in the community, encourage support, amplify the mission of the HLA and CoC, and reduce the stigma surrounding homelessness.
· Initiate and participate in efforts to strengthen and build partnerships with other organizations aimed at fostering the development of collaborative projects.
· Lead meetings and trainings for providers, volunteers, and committees; this may include but is not limited to elected officials, individuals who have previously or are currently experiencing homelessness, law enforcement, youths, and seniors.
· Develop external and internal presentations as needed, at times leading them. This could include presentations to the CoC Board, Committees, and other key stakeholders and groups.
· Support organization-wide efforts to increase the performance management and quality improvement processes of the CoC to ensure that federal, state, and local goals and priorities in the homeless services system are effectively and efficiently met.
· Assists with the development of the annual CoC application Notice of Funding Opportunity (NOFO) and other grant applications, as directed.
· Participates in Emergency Management activities – including hurricane response and the Cold Night Shelter Program – as directed.
· Responsible for monthly newsletters, excluding the HMIS newsletter(s).
· Manage the Pinellas Homeless Resource Guide, including updates, prints, the digital guide, and distribution.
· Assist with marketing initiatives as directed, including maintaining the HLA’s website, updating and distributing brochures, etc.

· Performs other duties and projects as assigned.
· Some evening, weekend, and holiday work may be required.
Language Ability:
Ability to speak effectively before a variety of different audiences. Conveys information effectively enough to teach it using a variety of mediums including face to face and virtual trainings.
Reasoning Ability:
Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
Computer Skills:
Have a firm knowledge of Microsoft products, Zoom, and Adobe. Knowledge of
Client Relationship Management software, Canva, SquareSpace, Doodle Poll,
Constant Contact, and social media platforms are not required, but are useful.
Education/Experience:
Bachelor's degree (B.A./B.S.) from four-year college or university; a minimum of two years’ experience in homeless services.
Certificates and Licenses:
Reliable transportation required. If utilizing personal vehicle for business purposes, must provide proof of valid Florida Driver’s License and insurance.
Must be able to pass a Level II Background Screening.
Work Environment:
Due to the county-wide nature of the organization and the many volunteers involved, work will often entail travel throughout the county to attend required meetings, functions, and events. This is a hybrid/remote position in Pinellas
County, Florida.

· Comfortable with public speaking and leading / conversing with groups with varied knowledge, skills, and experiences.
· Ability to supervise volunteers of various skill levels.
· Skilled in facilitating group processes.
· Ability to exercise sound judgement in decision making.
· Ability to establish and maintain effective and productive working relationships with colleagues, members of HLA and CoC Boards, Councils, and Committees, volunteers, and other community officials.
· Strong interpersonal skills-relationship builder and communicator with experience leading diverse work teams.
· Friendly and approachable demeanor.
· Time management skills.
Job Type: Full-time
Pay: $47,000.00 - $52,000.00 per year
