We are seeking an experienced Office Administrator to join our dynamic team. Duties
- Manage and maintain the office calendar, scheduling appointments, meetings, and events
- Provide exceptional customer service, responding to phone calls, and handling inquiries
- Coordinate and plan internal and external events, including meetings, conferences, and training sessions
- Maintain accurate medical history, including patient information, and insurance verification
- Develop and implement administrative procedures to improve office efficiency and productivity
- Maintain a clean, organized, and welcoming office environment
- Manage office supplies and equipment
- Handle confidential and sensitive information with discretion and professionalism
- Maintain patient records and ensure accuracy of information
- Coordinate referrals to specialists and other healthcare providers
- Follow HIPAA guidelines to ensure patient confidentiality
- Collaborate with medical staff to ensure smooth patient flow and efficient clinic operations
Experience
- Proven experience as an Office Administrator or in a related field
- Strong administrative background with a focus on customer service
- Experience with medical office management, including scheduling, billing, and insurance claims
- Familiarity with QuickBooks and phone systems
- Excellent organizational, communication, and supervisory skills
- Ability to work in a fast-paced environment and manage multiple tasks
- Strong attention to detail and ability to maintain confidentiality
Skills
- Experience as a medical receptionist or dental receptionist preferred
- Proficient in using electronic medical records systems.
- Strong customer service skills with the ability to provide excellent patient service
- Knowledge of medical scheduling procedures and ability to manage appointment calendars effectively
- Familiarity with phone systems and ability to handle multiple phone lines
- Understanding of HIPAA regulations and commitment to maintaining patient privacy
