Job Summary:
We are seeking a diligent and versatile Operations Assistant with a strong foundation in accounting to join our operations team. The Ideal candidate will support various operational tasks, including logistics coordination, invoicing, and client support, ensuring smooth and efficient business operations. This role requires an individual who is highly organized, analytical, and adaptable, with the ability to manage multiple responsibilities and learn new tasks quickly.
Key Responsibilities:
Logistics Coordination:
· Confirm sales and shipments of products.
· Coordinate the logistics of physical products from origin to destination.
· Communicate with refineries to confirm monthly purchase volumes.
· Support clients with import procedures, including sending invoices and Bills of Lading (BOL).
Client and Supplier Relations:
· Analyze and address stoppages and delays affecting customers and suppliers.
· Conduct reconciliations with clients and suppliers.
· Follow up on all aspects of programming and reconciliation for propane, refined products, and petrochemicals.
Operational Planning and Support:
· Participate in daily operational planning meetings.
· Track units and ensure timely and efficient movement of products.
· Assist in brainstorming sessions for operational improvements and implementing new strategies.
Invoicing Management:
· Manage invoicing processes, ensuring accuracy and timeliness.
· Coordinate with the finance team to resolve any discrepancies in invoices and payments.
· Maintain detailed records of all invoices and related financial documents.
Reporting and Documentation:
· Create and maintain reports on project pipelines, including estimated times of arrival (ETA) of shipments.
· Ensure accurate documentation and timely updates for all operational activities.
· Prepare final reconciliations and necessary documentation for client and supplier interactions.
Qualifications:
Educational Background:
· Formal education in accounting or a related field.
· Relevant experience in accounting and financial management.
Skills and Abilities:
· Strong numerical skills and the ability to handle complex calculations accurately.
· Proficiency in SAP is a Plus.
· Excellent analytical skills to interpret data and identify trends.
· Highly organized with the ability to manage multiple tasks and deadlines efficiently.
· Methodical approach to problem-solving and task management.
· Adaptable and quick to learn new operational tasks and responsibilities.
· Strong communication skills for effective interaction with clients, suppliers, and internal teams.
· Advanced Excel skills.
· Knowledge of unit conversions.
· Geographical knowledge.
· Ability to differentiate among vessel, rail, and truck logistics.
Job Type: Full-time
Pay: $60,000.00 - $65,000.00 per year
