Job Description
The Senior Registrar performs specialized clerical and technical tasks related to the data entry and development of the master schedule for the interconnected high school and the International Academy model, provides oversight of the registration and withdrawal of students and maintenance of student records and files, supports the departmental budget needs; as well as related activities of the school site (such as honor roll programs, etc.), and maintains student data in an automated student information system.
This position reports to the Director of School Counseling.
Qualifications
Education: Completion of a standard high school diploma or GED.
Experience: Considerable experience in performing data entry and detailed clerical work of a progressively responsible nature; some of which shall have involved the maintenance of student records, the master schedule, and student data in a student information system.
Essential Functions
- Performs withdrawal activities within the automated student information system (e.g. new and rollover students, in-district/out-of-district transfers, etc.) to ensure compliance with financial, legal, state, or federal requirements.
- Processes report cards distribution at the end of each quarter and guides others as needed.
- Pulls the data for the Honor Roll lists and prints certificates.
- Supports the Registrar I/II with the enrollment of new students and assists families
- Performs attendance-related functions where required to meet district, state, and federal requirements.
- Maintains a variety of files, documents and student records (physical files and electronic files within the student information system) (e.g. permanent student record, cumulative folders for all student's grades, transcripts, address changes, master schedule, attendance (by assignment), discipline, etc.) to meet the division’s goal of accurate and timely student data within the student information system and student records.
- Compiles a variety of information/data (e.g. transcripts, health, IEP, attendance, discipline records, grades, test scores, recognition awards, etc.) to provide appropriate information required by site, district and/or state.
- Processes requests for transcripts and education verification, when applicable.
- Processes transfers within the inter-connected school (ISAEP, SAT, CFC).
- Assists with additional appropriate tasks as assigned by the administrator and the Coordinator of Student Data and Registrars to ensure an efficient and effective work environment.
- Attends staff meetings and training sessions as assigned to convey and/or receive information required to perform functions.
- Demonstrates an advanced understanding and competency in creating, editing, and loading the Master Schedule.
- Demonstrates the ability to execute and analyze scheduling reports related to the Master Schedule build process.
- Demonstrate the ability to evaluate a transcript record or documents provided to determine student placement and enter the correct information in ACPS systems.
- Demonstrate the ability to edit stored grades.
- Be able to create, maintain, and edit the online school course catalog needed for the master schedule process.
- Regularly attends all meetings and trainings.
- Successful completion of three school years at the Registrar I level.
- Supports the department's budget needs and remains up-to-date on procurement training.
- Performs other related duties, as assigned, to ensure the efficient and effective functioning of the work unit.
