The Student Assistant job for the Dean of Students’ Office, is a student support role, assisting the department’s facilitation of its various programs, events and initiatives.
These positions support the Dean of Students’ Office, as well as the subdepartments therein: Parent & Family Relations and Student Engagement & Retention. Programs in this area, currently include: Orange Keys, Freshmen Leadership Program, Student Success Initiatives, Student Government Association, Raven’s Call, SHSU Parents’ Association, Bearkat Family Weekend, and Expressive Activity.
This position works alongside, four full-time staff and other student assistants. This position must be able to work an average of 18-25 hours a week, dependent on department needs. Must have Monday-Friday availability, with occasional evening and weekend hours. Must be available to work during semester breaks, especially summer.
All student assistants may be responsible for the following cumulative job duties. Individual duties may be assigned to student assistants based on their strengths and scheduling. All student assistants should have the capacity to learn new tasks and possess great communication skills necessary to work in a team environment where you will often be picking up where another student left off. Duties may include, but are not limited to, any of the following:
Responding to e-mails, phone calls, voicemails, and social media inquiries from parents, students, staff, and faculty.
- Daily maintaining/stocking community copier, printers, shredder, laptops
- Organizing reception area, breakroom, and storage closets
- Office Supplies Inventory
- Facilitates communication related to student Absence Memos and Felony Convictions
- Check the Vice President Student Affairs (VPSA) Dean of Students’ Office mailbox
- Processing SHSU Parents’ Association (SHSUPA) memberships
- Making changes to parent records in membership database
- Facilitating Orange Key Event Requests
- Approving article posts on parent engagement platform
- Assistance with Keys of Excellence, Raven’s Call and Bearkat Family Weekend planning
- Processing incoming applications for student programs and scholarships
- Running grade checks and other student eligibility reports
- Making SHSUPA Newsletters
- Loading content into CampusESP Parent Portal
- Assisting with parent recruiting at New Student Orientation
- Marketing material creation in Canva
- Generating parent content for newsletters and Facebook
- FLP reminders and communication
- Bearkat Family Weekend planning and day of programming help
- Research and special projects
- Report generation and data analysis
- Office related administrative tasks: scanning, copying, printing, compiling, etc.
The ideal candidate has a good working knowledge of the University, is professional, responsible, mature, and a great communicator. Candidate is a self-starter, pays attention to detail, can work well with little supervision, accomplishes tasks in a timely and accurate manner, and follows up appropriately. The candidate must take initiative and have the ability to identify potential problems and be proactive with solutions. The candidate must be comfortable working in a team setting and taking direction from multiple individuals. Candidate should have basic knowledge of Microsoft Office Products (Word, Excel, PowerPoint), bonus if Canva has prior experience designing in Canva. Must have, at least 2-4 hour open blocks of time for scheduling Monday-Friday 8am-5pm. This is the perfect position for someone who is wanting to learn. This is in a fast-paced office environment where student assistant support is essential to job function.
