Office Manager Assistant
Position Overview
Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others. Utilization of some resources from other work units may be required to perform the job's functions. The Office Manager Assistant is a key coordinator of communications and information for the company. The Office Manager Assistant maintains a professional image for the company along with performing many office duties.
Essential Job Functions:
· Assist Office Manager and/or Operations Manager as directed
· Backup Office Manager
· Assist with billing/invoicing using QuickBooks
· Maintain office procedures as directed by Office Manager
· Payroll processing as directed by Office Manager
· Answer phone, screen calls, take and relay messages, return calls
· Assist with daily dispatch of fuel trucks
· Maintains a variety of manuals, computerized files and records for the purpose of providing documentation in accordance with administrative and legal requirements
· Prepare reports and correspondence from general directions
· File and copy information
· Compile information for reports, create and maintain tracking spreadsheets
· Assist field personnel with delivery of supplies, parts, reports, information, copies, etc. as needed/required
· Open, sort, and scan mail. Once scanned upload to Dropbox as directed.
· Willing to drive in and around the Portland area on an as needed bases
Additional Job Functions:
· Create and maintain tracking systems for certifications, licenses and reporting requirements
· Maintain office area and office supplies
· Clean office and restroom area weekly or as needed
Required Skills:
· High school diploma or GED
· Excellent communication skills, verbal and written
· Exceptional knowledge of QuickBooks
· Dependable transportation and Valid Oregon driver’s license. Must be insurable
· Proficiency with Microsoft Office (Primarily: Excel, Outlook and Word)
· Knowledge Adobe Acrobat Pro/DC
Preferred Skills:
· Knowledge and/or experience regarding fuel delivery and/or delivery of supplies/products
· Dispatch experience
Other Skills/Abilities:
Job Type: Full-time
Pay: $22.00 per hour
Expected hours: 40 per week
Schedule:
- 8 hour shift
- Monday to Friday
Ability to Relocate:
- Portland, OR 97211: Relocate before starting work (Required)
