The Office Manager will be responsible for managing the day to day administrative, operations, and financial operations of the HR office.
Job Description
- Screens phone calls and visitors for the HR department; determines their needs and personally handles routine inquiry and request.
- Reviews all HR incoming emails and office mails, responding to routine items independently and distributing remainder to the designated members of the HR staff.
- Processes financial forms/transactions for the HR department and maintains an awareness of the budget, responsible for the day-to-day fiscal decisions. Makes cost estimates, obtains purchase quotes, and independently makes general supply purchases.
- Manages the comprehensive HR filing and record keeping process.
- Manages the work assignments, performance, and timekeeping for work study and extra help employees.
- Independently composed and sends out all campus wide HR communications.
- Maintains HR website ensuring all documents are relevant and up to date.
- Maintains inventory records and conducts periodic checks for inventory control processes.
- Managing all office facility requests.
- Provides documents for Banner permission access.
- Responds to employment verifications, unemployment claims, loan forgiveness inquiries.
- Process Tuition waivers.
- Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
Minimum Qualifications
- High school diploma or equivalent.
- Two (2) years (24 months) of work experience comparable to the third level of this series.
Preferred Qualifications
- Bachelor’s degree.
- Proficient in MS Office suite (Word, Excel, PowerPoint).
Knowledge, Skills and Abilities
- Strong analytical and problem-resolution skills.
- Demonstrated effective communication skills.
- Knowledge of administrative and administrative procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
- High degree of organization, ability to engage in a variety of tasks simultaneously, and consistently meet deadlines.
- Ability to work with and maintain confidential University information.
- Ability to work independently and with minimal supervision.
