Our Agency is currently seeking an experienced Administrative Assistant. This position will play an integral role in the customer service and organizational strength of our company. The administrative assistant will greet and direct visitors, answer incoming calls, respond to emails promptly, and provide administrative support to office staff. Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task, and possess a friendly demeanor.
Responsibilities include:
- Conduct clerical duties - filing, answering phone calls, responding to emails, and preparing documents
- Handle administrative requests and queries from senior managers
- Manage heavy inbound phone calls and outbound communications
- Create and update documents through Microsoft Office (Outlook, Word, etc..)
- Track stocks of office supplies and place orders when necessary
- Ship travel packets daily
- Lift, bend, reach, and stoop as necessary
Qualifications and Skills:
- Bilingual (English and Spanish) is required
- High School diploma; additional qualification as an administrative assistant or secretary is a plus
- Proficient in Microsoft Office
- Customer Service oriented
- Excellent written and verbal communication skills with the ability to multi-task
- Ability to complete complex administrative tasks with minimal supervision
- Working knowledge of office equipment such as printers, scanners, label makers
- Strong attention to detail and quality problem-solving skills
Schedule/Benefits:
- 4 or 8 hour shift Mon-Fri
- Rotating weekends
