Job Description: As an Administrative Assistant II, you will provide critical support to our company President, along with other managers and supervisors. Your role is essential in ensuring smooth operation of day-to-day activities and supporting the administrative needs of our leadership.
Key Responsibilities:
- Schedule and coordinate meetings, appointments, and travel arrangements for the company President and other key staff members.
- Maintain and manage calendars for the company President.
- Answer multiple phone lines, screen and transfer incoming calls.
- Assist the company President with various administrative tasks as needed.
- Handle financial administration tasks including downloading and coding American Express transactions to QuickBooks, and managing multiple company card downloads.
- Perform general office duties such as copying, faxing, and scanning documents.
- Open, sort, and distribute mail and packages.
- Maintain inventory of office and shipping supplies, as well as kitchen necessities.
- Assist with follow-up calls and mailings and ship materials for specific programs.
- Coordinate and order lunches for office staff and organize office luncheons.
- Enter and compile company data, manage updates to the employee directory and telephone extension list.
- Manage office equipment by ensuring printers operate efficiently, change toner, track toner inventory, and report any issues to the IT Department.
- Organize and maintain the cleanliness of the kitchen area and shipping/receiving center.
- Complete various other duties as assigned by the President or COO.
Qualifications:
- Proven CEO, CFO, President, Vice President level experience as an administrative assistant or in other secretarial positions.
- Familiarity with office management procedures and basic accounting principles.
- High proficiency in MS Office and experience with QuickBooks.
- Excellent organizational and time management skills.
- Ability to multitask and prioritize daily workload.
- High level verbal and written communications skills.
- Discretion and confidentiality.

Job Type: Full-time
Pay: $51,000.00 - $65,000.00 per year
