Job Summary: Taxstra is seeking a dedicated Receptionist who will be responsible for managing our front desk operations and providing support in basic accounting tasks. This role is crucial for maintaining a smooth and efficient front office, as well as ensuring accurate handling of financial transactions and client communications regarding tax returns, bookkeeping, and payroll services.
Key Responsibilities:
Front Desk and Reception Management:
Serve as the first point of contact for clients and visitors, ensuring a welcoming environment.
Efficiently handle incoming calls, emails, and mail, and provide accurate information.
Schedule and coordinate appointments and meetings.
Maintain a clean, organized, and professional reception area.
Accounting and Financial Support:
Perform daily deposits using a check scanner, ensuring accuracy and confidentiality.
Assist in basic bookkeeping tasks, including data entry and invoice processing.
Help prepare basic financial documents under senior staff supervision.
Maintain organized financial records and documentation.
Client Communication:
Communicate with clients regarding their tax returns, bookkeeping queries, and payroll information.
Provide clients with updates and information requests in a timely and professional manner.
Ensure confidentiality and sensitivity in all client interactions.
Administrative Assistance:
Conduct general office duties, including photocopying, scanning, and managing office supplies.
Support team members with various administrative tasks as needed.
Qualifications and Skills:
- High school diploma required; further certification in Office Management or Accounting is advantageous.
- Previous experience in a receptionist or administrative role preferred; experience in an accounting or financial setting is beneficial.
- Basic knowledge of bookkeeping and financial processes preferred, but not required.
- Proficiency in Microsoft Office Suite.
- Strong communication, organizational, and multitasking skills.
- Ability to handle confidential information responsibly.
