We’re looking for an Office Assistant who enjoys client interactions and desires to build a ferociously loyal customer base by following our communications standards.
We’re seeking an Office Assistant for Part Time employment, approximately 12 to 16 hours per week, days and hours TBD after mutual discussion.
Office Assistant Job Summary
Answer phones and return phone calls. Coordinate and represent all facets of client construction services.
Knowledge, Skills and Abilities:
- Excellent client service skills.
- Excellent phone skills.
- Computer skills REQUIRED.
- QuickBooks experience.
- Construction Project Costing Experience preferred
- Must be friendly, outgoing, “people-oriented.”
- Excellent communication skills.
- Ability to work in a team oriented environment.
- Well groomed, organized and detail oriented.
- Ability to take direction.
- Ability to handle money accurately and honestly.
- Must possess sound decision making skills and multi-task while working in a fast paced construction business.
Basic Duties
The following is a list of essential job requirements. This list may be revised at any time and additional duties not listed here may be assigned as needed. Job functions and Job Responsibility include:
- Answer Telephones and Make Appointments
- Answer Emails and manage company email account.
- Quickbooks Accounts Receivable
- Quickbooks Accounts Payable – Pay Bills
- QuickBooks Job Costing
- Marketing Implementation
- Order Office Supplies
- Prepare Final Bids for presentation to clients.
- Get client signatures on bids.
- Prepare deposit and final invoices.
Prepare and submit required Lien Disclosure Forms
- Submit Plans for Permits
- Manage the job board and help schedule jobs.
- Be knowledgeable enough about our services to answer basic questions.
Marketing Implementation:
- Understand, participate, promote and support planned marketing events and programs.
- Present marketing promotions to clients in a professional manner.
- Follow up on projects with a client satisfaction survey.
- Encourage client to leave reviews.
Financial Responsibilities:
- Verify that all provided services and/or products have been accurately entered in the computer on the client’s order/invoice.
- Collect deposits and payments for services at the time they are rendered.
- Prepare deposit slips and/or cash balancing worksheet for the bank deposit.
- Keep cash/checks, etc. secure at all times.
